Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and leadership
- Coordinate vendor management activities, including negotiating contracts, processing invoices, and maintaining supplier relationships
- Manage bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records and timely bill payments
- Supervise administrative staff, providing training, development opportunities, and ongoing support to foster a motivated team environment
- Plan and execute company events and meetings, ensuring all logistics are handled efficiently from venue booking to materials preparation
- Maintain organized filing systems for medical records, client documents, and internal reports while ensuring compliance with confidentiality standards
- Support human resources functions such as onboarding new employees, managing payroll processes, and assisting with employee records
Requirements
- Proven experience in office management or administrative roles within a professional setting
- Strong supervisory experience with the ability to lead and motivate a team effectively
- Proficiency in QuickBooks for bookkeeping and financial management tasks
- Excellent communication skills with a professional phone etiquette and ability to handle multiple lines efficiently
- Exceptional organizational skills with keen attention to detail in scheduling, filing, and record-keeping
- Experience in event planning and coordinating large meetings or company functions
- Knowledge of human resources practices including payroll processing and employee onboarding
- Ability to manage budgets effectively while maintaining high standards of accuracy in bookkeeping tasks
- Familiarity with medical office management or healthcare environments is a plus but not required
- Demonstrated ability to handle vendor negotiations, manage office supplies inventory, and oversee general office operations
