Job Purpose/Summary:
Provide administrative support to our President and CEO.
Job Responsibilities:
Executive Administrative Support to CEO/President
- Maintain President’s schedule and calendar, scheduling virtual and in-person meetings
- Coordinate all travel arrangements and ensure President has necessary trip resources
- Provide speaking engagement support (vet invitations, logistics, correspondence, reimbursements, etc.)
- Schedule monthly coaching meetings with President’s direct reports
- Process administrative forms (expense reports, time off requests, trip approvals, check requests, etc.)
- Send email communication on behalf of President, as directed
- Support key relationships for President (staff, donors, board, church and nonprofit leaders, city leadership, etc.)
- Be willing to help with Palau events if needed and support the President’s activities at these events
- Acts as a liaison for the president as a consistent presence in the office
Administrative Support to the Executive Department
- Manage communications and mailings to mass donor list (Christmas cards, fundraising event invitations, pastoral lists, etc.)
- Maintain digital file database, scanning and sending documents as needed
- Purchase gifts on behalf of the president for people
- Help executive team with Pat Palau’s travel and communication needs.
- Other duties as assigned
Grace and Mercy Foundation
- Establish and lead a weekly ‘Just Show Up’ book club for staff
- Attend weekly public reading of scripture meetings
- Lead a weekly public reading of scripture meeting for staff
- Be willing to travel for training if necessary 1-2 times per year
Working Conditions: Work is primarily performed in an office environment. Position requires sitting for extended periods of time, and extended periods of computer use.
Experience and Education:
- Nonprofit experience required.
- Minimum two years executive administration experience required
Knowledge, Skills, and Abilities:
- High attention to detail and highly organized
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite including Outlook
- Strong ability to multi-task and prioritize projects
- Ability to work collaboratively with others in the office
- Professional and able to handle confidential information
- Ability to manage time and responsibilities with little supervision
