What are the responsibilities and job description for the HR Coordinator position at PALADIN INC?
POSITION PURPOSE: Responsible for filling vacant positions within the organization. This position will set up interviews with potential candidates, and complete the on-boarding procedures for newly hired staff.

ESSENTIAL FUNCTIONS:

- Discover and implement ways to advertise vacant positions and attract potential applicants to the organization.

- Ensure that aspects of the hiring process are completed in a timely manner
- Recruitment
- Post advertisements for open positions as directed (internally, externally)
- Discover new recruitment avenues
- Contact applicants to describe the position to verify candidate’s interest in the position.
- Conducts pre-screen to verifiy candidate is qualified for position.
- Gather and track applications in ATS.
- Attends career fairs in Northwest Indiana or online as requested.
- Attends networking events to establish community participation
- Interviews
- Schedule interview for directors/managers and inform them promptly of interview times
- Ensure hiring packets are ready for interviewers
- Mail out letters for applicants not selected for positions
- Conduct interviews as needed
- Hiring
- Conduct background, motor vehicle checks, reference checks, and schedule program specific checks (i.e. fingerprint, physical, tb, and/or drug screen) for all prospective employees
- Coordinate new staff orientation with prospective employee, management, and trainers
- Recruitment
- Prepare materials and conducts New Staff Orientation
- Ensures all new hire paperwork is completed timely and accurately in compliance with federal and state laws as well as program regulations and Paladin policies.
- Personnel records maintenance
- Input, maintain, and file information in employees’ employment, medical, and training files to ensure they are kept current, up-to-date, and in compliance with legal requirements.
- Shall perform any other duties or functions as assigned which may involve areas not directly related to any of the above and may be in areas not normally assigned to this position.
KNOWLEDGE AND SKILLS:
- Knowledge with recruiting tactics and sources to advertise vacant positions.
- Good public relations and communication skills (both written and oral).
- Ability to independently organize time and duties to conduct the daily, weekly and monthly responsibilities of recruiting activities.
- Ability to synthesize new staff records to develop to ensure timely and accurate completion of all new-hire paperwork.
- Knowledge of all agency positions including minimum qualifications for the position.
COMMUNICATION SKILLS:
- Applicants –personal contact either in-person or describe vacant positions to new candidates in an engaging manner.
- Other Agency Staff – periodic contact to determine current or up-coming vacant positions.
- Supervisor – personal contact as needed to plan, monitor, and evaluate recruitment activities and communicate need for assistance.
PHYSICAL REQUIREMENTS:
- Speaking, hearing, visual ability to communicate.
- Sit for long periods of time with daily use of computer screen;
- Complete tasks involving repetitive arm and hand movements, such as heavy word processing/keyboarding, using various office tools to collate
- Filing is required. This would require the ability to lift files, open filing cabinets and bending as necessary;
- Occasionally lift and/or move up to 20 pounds.
TOOLS AND EQUIPMENT:

EDUCATIONAL AND EXPERIENCE REQUIREMENTS:

- A minimum of two-years recruiting experience preferred.

- Required to change work and/or personal schedules to meet time requirements of interviews, trainings, and job fairs.
