We are seeking a highly organized and proactive Project Coordinator to support delivery excellence across our client's IT Project Management Office (PMO). This hands-on coordination role partners closely with Applications, Infrastructure, and Governance, Risk and Compliance (GRC) teams to help maintain project plans, track delivery progress, coordinate project administration activities, support user acceptance testing and release readiness, and translate project updates into clear, concise status reporting for stakeholders and leadership. In addition, this role helps ensure consistency in PMO processes and documentation by maintaining key project artifacts, monitoring risks, issues, decisions, and dependencies, and supporting continuous improvement of reporting, templates, and delivery practices across multiple concurrent initiatives.
Job Description & Responsibilities :
- Support planning, scheduling, and execution tracking across multiple concurrent IT PMO initiatives; maintain integrated milestones, action items, dependency logs, and RAID tracking to keep work aligned across teams.
- Coordinate project administration activities including meeting scheduling, agendas, notes, follow-ups, status updates, and maintenance of core project artifacts.
- Assist project managers and stakeholders with preparing and maintaining project artifacts, schedules, requirements, test plans, cutover plans, and other delivery documentation for completeness and traceability.
- Help monitor project health by tracking risks, issues, decisions, change requests, and dependencies, and escalate items that may affect scope, timeline, quality, or readiness.
- Support user acceptance testing and release readiness activities by coordinating test schedules, collecting status, tracking defects and open items, and confirming documentation needed for go/no-go decisions is complete.
- Prepare concise dashboards, weekly summaries, and executive-ready status materials that clearly communicate progress, risks, decisions, and next steps.
- Partner with IT and business teams to support stakeholder communications, change management activities, training coordination, and transition-to-operations follow-through.
- Support continuous improvement of PMO processes, templates, reporting tools, and data quality using platforms such as Monday.com, Azure DevOps, Power BI, Excel, or similar tools.

Skills & Qualifications :
- 3 - 5 years of experience supporting project coordination, PMO administration, project operations, or related delivery support work within an IT environment.
- Experience coordinating cross-functional initiatives involving business and technical stakeholders, with exposure to Applications, Infrastructure, Security, Compliance, or related teams.
- Experience maintaining project plans, status reporting, meeting follow-ups, RAID logs, dependency tracking, and delivery documentation with strong attention to detail.
- Familiarity with project delivery lifecycle activities, including requirements support, testing coordination, release readiness, issue tracking, and post-go-live follow-up.
- Exceptional written and verbal communication skills with the ability to prepare clear, concise, executive-ready updates and work effectively with both technical and business teams.
- Proficiency with PMO and reporting tools such as Monday.com, Azure DevOps, MS Project, Power BI, Excel, and Microsoft collaboration tools.
- Working knowledge of PMO governance, SDLC or Agile methods, UAT coordination, change control, and general release management practices is preferred.
- Bias for action, high ownership, and the ability to context-switch across multiple concurrent initiatives.
- Nice to have: Certifications such as CAPM, CSM, ITIL; experience with audits, control testing, and remediation (e.g., SOX, cybersecurity, vendor risk).
