This role owns the full event lifecycle — from high-level strategy and budget management to on-site logistics, vendor relationships, gifting programs, and attendee communications — ensuring seamless event delivery and exceptional client experiences at every touchpoint.

Key Responsibilities

Event Leadership & Strategy

  • Lead strategy, planning, and full execution for all multi-day domestic and international events, including retreats, workshops, masterminds, and internal team gatherings.
  • Collaborate with the Brand & Creative Director to define event vision, branding, and customized gifting experiences.
  • Own full event strategy including venue selection & negotiation, experience design, run of show leadership, and approval of event swag and products.
  • Manage budgets, including multi-currency considerations, in collaboration with the Accounting Manager.
  • Build and maintain detailed event checklists, timelines, and planning documents.
  • Serve as lead on-site for all events, including the company's largest annual event: Launch Your Ads Live.
  • Troubleshoot issues in real time and ensure client satisfaction and brand alignment throughout all events.
  • Coordinate guest experience including registration, welcome packets, gifting boxes, and on-site materials.
  • Manage guest logistics including catering, accommodations, transportation, A/V, and printed materials.

Communication & Collaboration

  • Own the development of all attendee event communication content, partnering with the Client Success Team for formatting, scheduling, distribution, and attendee segmentation based on registration data.
  • Serve as the primary point of contact for all event-related vendor and internal communications.
  • Provide weekly updates to leadership on events and culture initiatives.
  • Participate in company-wide strategic discussions, contributing insights from an operations perspective.

Budget & Vendor Oversight

  • Plan event budgets alongside the Accounting Manager; ensure financial accountability and reporting accuracy.
  • Source, negotiate, and manage relationships with domestic and international vendors, ensuring quality, compliance, and cost-effectiveness.
  • Review vendor contracts, collect proposals/quotes, and manage all estimates and expense submissions.
  • Collect and organize invoices and receipts for reconciliation.

Client Gifting & Shipping

  • Manage all gifting programs end-to-end in partnership with the Brand & Creative Director, including:
  • New Client Gifts
  • VIP Day Gifts
  • Workbooks & Ashley's Book
  • Event Materials
  • Challenge Gifts
  • Company Merch & Swag Store
  • Miscellaneous Team Gifts
  • Oversee all shipping logistics: prepare labels, track deliveries, and ensure all materials arrive on time.
  • Maintain inventory of event materials, gifts, signage, and supplies; manage restocking as needed.
  • Drop off shipments at UPS as needed and maintain organized shipping records.

Key Metrics & Goals

Event Leadership & Execution

  • 95% of events executed on time, within budget, and to quality standards.
  • Vendor proposals reviewed and approved within required timelines.
  • Client satisfaction score of 90% on domestic and international events.

Client Gifting & Shipping

  • Less than 5% error rate in gifts or shipments.
  • Workbooks, event materials, and gifts shipped within 2–3 business days.

  • Calm, solution-oriented, and able to manage multiple priorities simultaneously.
  • High level of discretion and professionalism when handling client information.
  • Heart of hospitality with strong ownership and accountability.
  • Willingness and ability to travel domestically and internationally.

Nice to Have:

  • Experience planning international events, including multi-currency budgeting and cross-border vendor management.

Location & Schedule

About Paid Ads Academy

At Paid Ads Academy, you'll join one of the fastest-growing woman-owned startups in advertising education, where alignment with our vision, mission, and values is non-negotiable.

Vision: To be the go-to advertising training partner for entrepreneurs and their teams.

Mission: Empower entrepreneurs and their teams to become findable™ for what they do by mastering paid ads in-house.

Our core values make it RAIN:

  • R – Raise the Standard: Excellence is the baseline. Good is a gap we close, not a place we rest. We hold ourselves to standards most people would call unreasonable — and we’re proud of that. If it’s not our best work, it doesn’t leave our hands.
  • A – Architect the Solution: You’re not here to do the job. You’re here to design the system that does it. We think in systems, automate relentlessly, and rebuild how we work every quarter. If the way you operate looks the same as it did 90 days ago, you’re falling behind.
  • I – Initiate Before It's Obvious: We don’t wait to be asked. We see around corners, anticipate what our clients and teammates need, and move before the gap becomes visible. Unreasonable hospitality isn’t a department — it’s how every single one of us operates.
  • N – No Excuses, No Explanations: We speak with precision. We deliver on deadlines, not discrepancies. When we fall short, we own it immediately, fix it fast, and raise our standard — we don’t narrate why it happened. Clarity over comfort, always.
