MEDICAL OFFICE ASSISTANT
Part-time Medical Office Assistant for Surgical Practice in Torrance. Must be available to be in the office between 9:00 AM – 3:00 PM Monday through Thursday. This position is for both front and back-office duties which include handling phone calls/emails/faxes, scheduling appointments and surgical procedures, obtaining insurance authorizations, and handling all pre-operative and post-operative activities, greeting patients on clinic days (Wednesdays) and escorting them to patient rooms, being a chaperone (as needed for female patients for a male surgeon), following up with patients and other providers throughout the patients surgery process. Patient care skills, customer service, and computer skills are required. We are seeking a candidate who will enjoy helping patients throughout their treatment and recovery (for surgery and wound care), working with referring physicians’ offices and other providers, hospitals, surgery centers, insurance companies, and vendors.
Hourly pay rate will depend upon skills and experience.
RESPONSIBILITIES:
- Provide front and back-office support with the ability to perform all work functions independently, without supervision. Performance is measured by results and does not have direct supervision.
FRONT OFFICE responsibilities include:
- Answer and handle all phone calls, emails, faxes, and submit/respond to online web portal inquiries for insurance companies.
- Qualify patient referrals.
- Create EMR medical record for each new patient, call the patient, gather and input the patient’s information in EMR, and schedule the patient’s initial office visit (evaluation and consultation).
- Call patients to remind them of upcoming appointments and any outstanding items needed for that initial visit (e.g. Radiology reports, Labs, Referring or primary provider’s notes and patient history, etc.)
- Coordinate and schedule surgical procedures or other appointments, as advised by the surgeon, following the patient’s visit.
- Submit authorizations to the patient’s insurance company via their web portals (or sometimes need to fax them).
- Schedule the surgical procedures for patients at the hospital, surgery center, or in our clinic’s procedure room.
- Track and follow up with patients that are in “queue” to have surgery, while documenting each step in our EMR.
- Greet patients on clinic days (Wednesdays), have them fill out and sign patient intake forms, and enter their information and signed forms into the EMR system.
- Escort patients to consultation/evaluation rooms and, for female patients, will need to be a chaperone for male surgeon.
- Build good working relationships with providers, hospitals, surgery centers, insurance companies, vendors, all patient referral sources, and other entities.
- Maintain and update our provider information with insurance companies, hospitals and surgery centers, pharmacies, and other providers.
- Notify surgeon of all reminders about re-credentialling, renewing licenses/memberships/etc.
- Respond to other requests as needed, keep the office organized, presentable, and clean.
BACK-OFFICE duties include:
- Assisting the surgeon on his clinic days (Wednesdays).
- Assist during medical examinations.
- Act as chaperone for female patients.
- Clean and set up treatment rooms in-between patients.
- Prepare and clean/sterilize medical instruments.
- Ability to translate Spanish for the surgeon is desired but not required.
- Additional tasks may be required, and the responsibilities may evolve and change to meet the needs of the business.
REQUIREMENTS:
- Ability to perform all work functions independently without supervision.
- Must be available to work in the office between 9:00 AM and 3:00 PM Monday-Friday.
- Wednesdays are the busiest clinic days when patients are seen in clinic.
- Strong planning, scheduling, administrative, patient-care, and customer service skills.
- Attention to detail for documenting and tracking each patient in the EMR during the course treatment.
- Female is necessary to serve as chaperone for male physician to be able to examine female patients
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (MS Word, Excel, Outlook/Email) and using web portals.
- Must be a goal-oriented, self-starter as most of the work will be performed alone.
- Proactive and able to reach out when questions arise or additional support is needed.
DESIRED, BUT NOT REQUIRED:
- Work experience in a Surgical Practice or Wound Care Clinic
- Spanish fluency is preferred
- Medical Assistant Certificate
- College Degree
- Knowledge of medical office procedures, management systems/EMR, provider, insurance, and third-party software and web portals
- Medical Coding, Billing, or Insurance experience
