Advertising Fulfillment Coordinator

About the Position

Hawaii Airport Advertising is seeking a highly organized, detail-oriented, and proactive

Fulfillment Coordinator to join our team. This position plays an important role in ensuring our advertising campaigns are delivered accurately, on schedule, and to our clients’ expectations across Hawaii’s airports.

The Fulfillment Coordinator will provide a combination of administrative, operational, and

campaign fulfillment support. This is a hands-on position that involves coordinating multiple

projects at once, communicating with clients and vendors, maintaining accurate records, and

helping ensure advertising campaigns move smoothly from contract through installation and

completion.

The ideal candidate is someone who enjoys staying organized, solving problems, following

projects through to completion, and working in a fast-paced environment where priorities can

change throughout the day.

Key Responsibilities

Operations & Campaign Fulfillment

● Support the day-to-day execution of advertising campaigns, including scheduling,

creative assets, inventory, timelines, and project requirements.

● Monitor digital campaigns, coordinate creative assets and artwork, track deadlines, and

assist with the production and delivery of digital and large-format advertising materials.

● Maintain accurate advertising inventory, project trackers, campaign documentation, and

operational records across multiple airport locations.

● Coordinate advertising installations, work orders, contractors, equipment, permits,

access requirements, and other installation-related logistics.

● Communicate with clients, airport personnel, contractors, vendors, and outer-island

teams to coordinate projects, troubleshoot issues, and collect proof-of-performance

documentation.

● Support airport operational requirements such as badging and parking credentials, assist

with process improvements, and contribute to special projects and other operational

needs as they arise.

● Provide digital advertising campaign support, including coordinating campaign setup,

collecting creative assets, tracking performance, preparing reports, and communicating

updates to clients and internal teams.

Administrative & Office Support

● Manage office supplies and assist with maintaining an organized and efficient office

environment

● Maintain organized files and records, assist with office needs, support department

projects, and help with other operational priorities as needed.

marketing, or a related field is preferred

Experience with any of the following is a plus:

● Project management or task management platforms such as Trello

● Adobe Creative Cloud, Canva, or other design software
