REPORTS TO: Director of Sales, Marketing & Events and Sales/ Catering Manager(s)
Indirect Reporting to: Director of Food & Beverage

About the Role: The Catering Event Coordinator provides administrative, sales, and event coordination support for weddings, meetings, social events, and group business. This role also provides administrative support to the Hotel General Manager and plays an important role in ensuring smooth daily operations.
You will serve as a liaison between clients and hotel departments to ensure every event is planned with precision and executed with excellence.

We are looking for someone who will help us develop new ideas and ways to improve revenue and guest satisfaction scores. The Catering Event Coordinator will be responsible for the sales of small business groups. In addition, actively develop and nurture accounts to result in additional room nights and overall revenue.

Key Responsibilities
- Prepare and manage Banquet Event Orders (BEOs), event resumes, contracts, and client correspondence
- Coordinate event logistics, room blocks, guestroom needs, VIP requests, and special arrangements
- Support site tours, tastings, planning meetings, and client follow-up
- Assist with banquet event execution and on-site coordination
- Partner with Banquets, Culinary, Front Office, Housekeeping, and Sales teams
- Provide administrative support to the Hotel General Manager, including calendars, reports, meetings, and special projects
- Maintain organized files, calendars, schedules, and office systems
- Deliver exceptional service to clients, guests, and internal teams
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Friendly, polished, and professional demeanor
- Strong customer service mindset
- Ability to remain calm and effective in a fast-paced environment
- Computer literate and proficient in Microsoft Office
- Ability to learn hotel systems quickly
- Previous hotel, catering, banquet, event, sales, or hospitality experience
- Experience in administrative or executive support
- Knowledge of Delphi, Opera, Amadeus, or similar systems
- Food Handler Certification (or ability to obtain)
- Luxury or full-service hotel experience preferred
- Monday-Friday (Office Hours)
- Tuesday- Saturday (Flexible Hours)
