job Summary: The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. This includes being responsible for confidential and time sensitive material; and effectively communicating via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Qualifications/Job Responsibilities
1) High School Diploma, Associate Degree or Some College Credit Student (Preferred)
2) At least 6 months to years of experience as an Administrative Assistant required.
3) Excellent oral and written communication and presentation skills.
4) Professional demeanor and appearance.
5) Proficient skills to promote excellent client relations and presentation skills.
6) Excellent organization and time management skills required.
7) Fluent in Spanish (required).
Responsibilities:
- Answer and direct phone calls
- Organize and schedule meetings and appointments
- Produce and distribute correspondence memos, letters, faxes and forms
- Develop and maintain a filing system
- Order office supplies
- Provide general support to visitors
- Provide information by answering questions and requests
- Prepare and monitor invoices
- Develop administrative staff by providing information, educational opportunities and experiential growth opportunities
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Reply to email, telephone or face to face inquiries
- Develop and update administrative systems to make them more efficient
- Receive, sort and distribute the mail
- Manage Administrator appointments
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of other colleagues
- Other duties as assigned
- Being able to take criticism from immediate supervisor
