Opening for a Program Support Specialist
The Oyster River Cooperative School District is seeking a Program Support Specialist to provide administrative support to the Business Office, and the Child Nutrition, Facilities, and IT Directors. This is a full year position. Salary position is based on experience.
Performance Responsibilities:
SAU Service Building Reception & Administrative Duties
- Responsible for front office operations, including but not limited to:
- Greet and assist visitors, staff, and community members in a professional, courteous, and customer-focused manner.
- Answer and direct incoming telephone calls to appropriate personnel and departments.
- Perform general clerical and administrative duties, including file management, data entry, and record organization.
- Prepare correspondence, reports, spreadsheets, and statistical information from a variety of electronic and paper sources.
- Receive, sort, and distribute incoming U.S. mail and deliveries.
- Open, date-stamp, and distribute invoices and check payments to appropriate departments for processing.
Accounts Payable & Procurement Support
- Assist Accounts Payable with check preparation for mailing, including folding, envelope stuffing, and applying postage.
- Maintain accurate filing and organization of financial records and supporting Accounts Payable documentation.
- Perform invoice data entry and related clerical tasks to support Accounts Payable operations.
- Enter requisitions into the District's ERP system for the Business Office, Superintendent's Office, Child Nutrition, Facilities, and Information Technology departments.
- Process purchase orders upon approval and in accordance with district procedures and departmental requests.
Facility Rental & Scheduling Management
- Manage facility rentals utilizing the ML Schedules system.
- Maintain and update the district's web-based scheduling calendar, ensuring accuracy of all events and activities.
- Respond to and manage incoming and outgoing communications with internal staff and external organizations regarding facility use requests.
- Assist with the approval process for events and coordinate facility walkthroughs with outside groups.
- Process and communicate changes to event dates, times, location, and related scheduling details.
- Interpret and apply district policies and procedures related to facility scheduling and usage.
- Coordinate event logistics with district personnel and external organizations, including collection and maintenance of required certificates of insurance.
- Prepare, process, and distribute invoices for facility usage to applicable organizations and groups, and ensure timely receipt of payments in accordance with district policy.
Budget & Administrative Support
- Assist the Business Administrator with the preparation, organization, and compilation of annual budget books and supporting materials.
- Support the distribution, presentation, and coordination of budget materials as needed.
- Assist with bid preparation and maintain accurate records of submissions and related documentation.
- Provide backup support for accounts receivable functions, including deposit preparation and management.
General Administrative Support
- Provide administrative support, as needed, to departments within the SAU Service Building, SAU Office, and Transportation Department.
- Provide data entry support for Medicaid billing operations within the Special Education Department.
- Assist with a variety of clerical, organizational, and operational tasks to support departmental functions and needs.
- Collaborate with staff across multiple departments to ensure efficient day-to-day operations and effective communication.
Technical Skills & General Responsibilities
- Demonstrate proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
- Read, interpret, and appropriately apply rules, regulations, policies, and procedures as authorized.
- Perform additional duties and responsibilities as assigned to support overall operations.
