We are seeking a highly organized, detail-oriented Marketing Coordinator to join our Venice Office. This role is ideal for someone who enjoys coordinating events, managing marketing initiatives, communicating with clients, and contributing to a fast-paced, collaborative environment.
Position Overview
The Marketing Coordinator plays a key role in supporting the firm’s marketing efforts, client communications, and event execution. This individual will work closely with leadership to coordinate seminars and educational events, maintain client and prospect communications, manage marketing materials, and ensure a seamless experience for both clients and prospects.
The ideal candidate is proactive, dependable, professional, and capable of managing multiple projects while maintaining a high level of accuracy and attention to detail.
Key Responsibilities
Event Marketing & Coordination
· Coordinate educational seminars and client events from planning through execution
· Manage event registrations, attendee communications, and follow-up activities
· Work with vendors, venues, and internal stakeholders to ensure successful event execution
· Attend events as needed and provide on-site support
· Track event participation and assist with post-event reporting and follow-up
Marketing & Communications
· Assist in creating and distributing marketing materials, presentations, and client communications
· Review and proofread marketing content for accuracy and professionalism
· Support digital and traditional marketing initiatives
· Assist leadership with proposals, presentations, and promotional materials
· Maintain marketing databases and CRM records
Client & Administrative Support
· Serve as a professional point of contact for clients and prospective clients
· Answer and direct incoming calls while providing exceptional customer service
· Confirm appointments and maintain team calendars
· Follow up with prospects regarding appointments, event attendance, and required documentation
· Perform data entry, scanning, filing, and other administrative tasks as needed
Qualifications
· Excellent verbal and written communication skills
· Strong organizational and time management abilities
· Ability to work independently and manage multiple priorities
· High attention to detail and strong proofreading skills
· Professional and polished customer service skills
· Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
· Experience with CRM systems is preferred
· Event planning or event coordination experience is a plus
· Marketing, communications, business, or related experience is preferred
