What are the responsibilities and job description for the Vice President of Operations position at Ox Exteriors?
Location: Hendersonville, TN Type: Full-Time, On-Site (HQ) Reports To: CEO
ABOUT THE COMPANY
Ox Exteriors, LLC and Southern Enhancements are growing exterior construction companies serving residential and commercial builders across the Southeast. We are a turnkey provider of siding, gutters, roofing, and motorized screens, with a strong reputation for craftsmanship, reliability, and builder relationships. We are entering a high-growth phase after securing significant new contracts with major builders across multiple cities, and we are building the leadership team to scale with us.
THE OPPORTUNITY
We are hiring a Vice President of Operations to serve as the company’s senior operational and financial leader — the person responsible for making sure the business is profitable, disciplined, and running with full visibility from estimate to invoice.
This is a headquarters-based leadership role. You will not directly supervise field installation crews, sales teams, or project managers. Instead, you will own the operational processes and financial disciplines that determine whether the company makes money: estimating accuracy, purchasing strategy, scheduling efficiency, builder vetting, invoicing speed, and the performance metrics that measure all of it. You are command central — the person who builds and maintains complete visibility into every critical process and ensures operational rigor across the organization.
You will report directly to the CEO and serve as his right-hand operational and financial partner. Your primary mandate is profitability — achieved through disciplined management of the estimating team, the purchasing team, and the scheduling and coordination team, combined with tight integration with accounting and rigorous financial process execution.
WHAT YOU’LL DO
Drive Profitability Through Operational Discipline
• Own the operational processes that directly impact margin: estimating accuracy, material purchasing, job scheduling, and coordination efficiency
• Directly manage and develop the estimating team, the purchasing team, and the scheduling/coordination team — these are your departments
• Drive job profitability reviews on every completed project — identify margin leakage, correct pricing, and improve execution before problems compound
• Manage subcontractor and vendor relationships, negotiate purchasing strategy, and ensure material costs stay within budget
• Institute and enforce operational standards and processes with consistency and discipline across the organization
Own Performance Metrics and Visibility
• Build, own, and maintain the operating and performance dashboards that measure every critical function — estimating, purchasing, scheduling, invoicing, AR, and profitability
• Ensure leadership has real-time visibility into job status, pipeline health, margin performance, and financial position
• Establish KPIs for each operational department and hold teams accountable to measurable standards
• Provide the CEO with a consistent, reliable metrics package that drives informed decision-making
Integrate Operations and Accounting
• Serve as the bridge between operations and accounting — ensure project information flows accurately and on time from the field through Job Nimbus and into QuickBooks Online
• Coordinate with accounting to ensure timely, accurate invoicing with no gaps between completed work and billed work
• Strengthen accounts receivable processes, tighten builder and customer vetting, and reduce collection timelines
• Institute financial processes with discipline — from contract terms to payment schedules to credit risk management
Drive Financial Discipline
• Build and own weekly cash flow models that account for construction finance realities — paying installers weekly, purchasing materials upfront, and collecting from builders on 30–60 day terms
• Implement forecasting, budgeting, and financial controls needed to support multi-market expansion
• Build the financial reporting and visibility that turns a strong regional contractor into a scalable organization
Partner With the CEO
• Serve as the CEO’s strategic operational and financial partner — the person who brings clarity, accountability, and data to every leadership conversation
• Drive profitability across the business — not just cost control, but margin improvement, revenue protection, and operational efficiency
• Shape the operational infrastructure for a company positioned to grow significantly over the next several years

WHO YOU ARE
Required
• 5 years of progressive experience in construction operations, with at least 3 years in a leadership role managing teams and driving profitability
• Deep understanding of construction cash flow dynamics — you’ve managed the tension between paying crews, buying materials, and collecting from customers or builders
• Strong financial acumen: you are comfortable with job costing, margin analysis, budgeting, forecasting, and AR management — not as concepts, but as things you’ve done
• Proven ability to manage estimating, purchasing, and/or scheduling functions and hold those teams to measurable performance standards
• Experience building and maintaining operational dashboards and performance metrics that give leadership real visibility
• Experience with construction project management software (Job Nimbus, Buildertrend, CoConstruct, or similar) and QuickBooks Online
• Self-directed and disciplined — you do not need to be managed closely to deliver results, and you hold others to the same standard
Strongly Preferred
• Experience in residential or commercial exterior trades — siding, roofing, gutters, or a related building products category
• Existing builder relationships in Tennessee or the Southeast
• Hands-on experience with Job Nimbus, including workflow configuration and QuickBooks integration
• Background in implementing financial discipline and operational structure during a period of rapid growth
• Familiarity with PlanSwift or similar estimating/takeoff software
The Right Fit
You are the person who makes a construction company profitable — not by cutting corners, but by running tight processes. You’ve managed estimating teams, purchasing functions, and scheduling operations. You know what a job should cost before it starts and you know why it didn’t hit margin when it’s done. You build dashboards because you believe what doesn’t get measured doesn’t get managed. You are direct, organized, and disciplined. You want to be at a growing company where you sit at headquarters, see everything, and make the machine run.
