This role operates in a collaborative, deadline-driven environment where proposal quality, accuracy, and professionalism are essential. The Proposal Specialist will work closely with leadership, subject matter experts, and cross-functional teams, gaining exposure to complex proposals and business development initiatives. As experience and expertise grow, there is opportunity to take on increased ownership, contribute to content strategy, and progress toward a more senior proposal specialist or leadership-focused role.
Proposal Development & Content Management
• Write, edit, and format proposal responses, qualifications packages, and technical documents for RFPs, RFQs, and SOQs.
• Develop and refine proposal content, including project descriptions, staff resumes, cover letters, key differentiators, and capability statements.
• Ensure proposal accuracy, clarity, consistency, and compliance through rigorous proofreading and editing.
• Coordinate with internal subject matter experts to gather content and meet deadlines.
• Maintain and update proposal content libraries, templates, and resumes.
• Support proposal schedules and deliver high-quality submissions.
Creative & Design Support
• Format and produce proposals and marketing materials using Adobe InDesign.
• Apply brand standards to layouts and templates.
• Perform light graphic editing using Adobe Creative Suite (InDesign, Photoshop, Illustrator).
• Assist with visually polished marketing materials.
Qualifications & Experience
• Bachelor’s degree in Marketing, Communications, Journalism, English, Business, or related field (or equivalent experience).
• 2–5 years of experience in proposal writing and/or coordination.
• At least 2 years of hands-on proposal development experience.
• Exceptional writing, editing, and proofreading skills.
• Experience with technical or compliance-driven content.
• Proficiency with Adobe InDesign.
• Strong organizational and communication skills.
Growth & Leadership Potential
• Demonstrated initiative and interest in growing into a senior-level proposal role.
• Ability to take increasing ownership of proposal sections and coordination.
Preferred (Not Required)
• Experience in professional services, AEC, engineering, government, or corporate environments.
• Familiarity with proposal best practices and compliance requirements.
