Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Handle phone etiquette professionally across multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
- Assist with event planning for corporate meetings, seminars, or special events from logistics to execution to ensure seamless experiences.
- Perform data entry and bookkeeping tasks using QuickBooks or similar accounting software to maintain accurate financial records.
- Oversee office management duties such as filing, organizing documents, managing supplies inventory, and maintaining a tidy workspace.
- Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes during meetings, and following up on action items.
- Conduct transcription of audio recordings or notes into written documents with high accuracy.
- Manage personal errands or tasks as assigned by the executive team to optimize their productivity.
- Utilize office technology including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, DocuSign for document signing, and data entry systems efficiently.
- Maintain excellent customer service standards when interacting with visitors or clients at the front desk or via phone communications.
Requirements
- Proven experience as a Personal Assistant or in an administrative role with a strong background in office management and executive support.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, QuickBooks, and office technology systems such as multi-line phone systems and Microsoft Outlook Calendar.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills along with proofreading and transcription abilities to produce error-free documents swiftly.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Experience in event planning and project coordination to handle multiple initiatives simultaneously.
- Knowledge of bookkeeping practices including data entry and basic financial record keeping using QuickBooks or similar software.
- Ability to manage confidential information discreetly while maintaining a high level of professionalism.
- Office experience that includes clerical tasks such as filing, data entry, front desk responsibilities, and general administrative support.
- Flexibility to adapt to changing priorities while maintaining attention to detail and accuracy.
