In 2024, Overaa was proudly honored as a Top 10 best-place-to-work in the Bay Area.GENERAL SUMMARY OF DUTIES:The Operations Specialist role is to provide administrative support to the Vice president Operations/General Superintendent and Safety Department. As a member of the operations team the Operations Specialist will work within a cooperative team environment to achieve projects completed on time, within budget in a professional manner.Essential Duties and Responsibilities:Establish a crew loading/ milestone schedule for each project and update this bi- weekly with information provided by the project team.Use this information along with weekly look ahead schedules to maintain and update the company manpower projections weekly.Call each project if original contract hours or Change order hours are not being updated, or bi-weekly information is not currentProvide Administrative Support to the Chairman of the Superintendent Steering Committee: coordinate the ordering of breakfast for the meetings, attend monthly meeting, assisting with logistic of OCI trainings, and provide communication to the field from the Steering Committee via a monthly newsletter.Order forms and keep forms in stock for the foreman/superintendent mail areas. Safety Duties and Responsibilities Write Site Specific Safety Plans and Assemble/Distribute safety startup packages for projects.Price/ Purchase field safety incentives to distribute to the field, purchase administrative needs and maintain startup package supplies using existing label printer & laminator.Complete periodic duties such as COCO points (2/Year) and Belt Buckle Award (1/year).Manage software related with safety such as Safety Software, Overaa Hub Safety Page, Click Safety, ISNET, DPI etc.Manage files related to incidents & safety Alerts and create Quarterly Safety Report using audits.Training:Assist with Safety training (at Richmond Training Center) i.e. order lunch, make copies, build class roster, send reminders, post no-shows, input training records into database etc.Assist in coordination of special training, registration and payments/billings, accommodations and scheduling refresher trainings.Print out employee ID cards following the employee orientation.Periodic Dispatcher Back-up Duties (Only when Primary Dispatcher is on PTO or attending event): Working with the dispatcher the Operations Specialist should become familiar with all aspects of dispatching craftsmen. This will include moving people in our Access system, from project to project and helping with payroll distribution when needed. Becoming familiar with the trades we employ, and the work assigned to the different trades. What types of prerequisites will each type of project typically have, special training or certifications, specific site requirements.Should be knowledgeable in other pre-employment requirements that are needed (drug testing etc.) and be able to schedule those before the craftsmen are needed on the project. Take phone calls from Superintendents and Craftsmen and return all calls that day. This should be done timely and accurately even if you cannot meet the requests, or the craftsmen are not needed the next day. This does not include bonus compensation or other benefits such as health, disability, life, retirement, or other benefits which may impact total compensation. The actual offered salary to a successful candidate will be dependent on several factors that may include but are not limited to skill set, experience, education, qualifications, and location.
