What are the responsibilities and job description for the Talent Management Specialist position at OuterBox?
OuterBox is seeking a Talent Management Specialist, who will play a pivotal role in attracting, engaging, and supporting exceptional talent across the organization. This person is the primary owner of our recruiting process and candidate experience — managing job postings, screening applicants, coordinating interviews, and supporting hiring managers from open role to offer.
Beyond recruiting, this role contributes to onboarding, orientation, learning and development initiatives, and various talent operations. The ideal candidate is a confident communicator, critical thinker, and high-judgment professional who thrives in a fast-paced, people-focused environment.
Talent Acquisition (Primary Focus)
- Own candidate sourcing, screening, and coordination across all active roles.
- Conduct initial candidate interviews to assess values alignment, communication skills, and alignment with role requirements.
- Maintain accuracy and progress of candidates in the ATS; communicate proactively with hiring managers and the Director of Talent.
- Create and manage job postings; ensure roles are visible, accurate, and reflective of hiring needs.
- Support scorecard creation, interview guide updates, and recruiting operations to ensure a consistent and values-driven process.
- Partner with the Director of Talent Management to track pipeline health, recruiting metrics, and funnel performance.
Onboarding & Orientation
- Manage pre-boarding communications and onboarding logistics.
- Coordinate and deliver a consistent and engaging remote company orientation experience.
- Partner with hiring managers to ensure team-level onboarding plans are in place and executed.
- Track onboarding progress and gather feedback for continuous improvement.
Learning & Development
- Support execution of learning programs by coordinating scheduling, LMS assignments, and communications.
- Track training participation and completion; help surface insights and opportunities to improve training programs.
- Assist with program logistics, documentation, training presentations, and communications.
Talent Operations
- Maintain employee records and ensure data accuracy across systems (ATS, HRIS, LMS).
- Support recurring talent programs like talent mapping, succession planning, etc.
- Support employer brand initiatives such as recruiting events and workplace awards.
- Document and continuously improve SOPs for recruiting, onboarding, and L&D coordination.
- Additional duties, as assigned.
- Minimum 3 years of experience in recruiting, HR coordination, or a similar talent-focused role.
- Proven experience in full-cycle recruiting and candidate experience.
- Highly organized with the ability to manage multiple open roles and moving parts.
- Excellent communication and interpersonal skill - able to represent the company well and guide candidates and stakeholders through the process with ease.
- High judgment and discretion—able to handle confidential information and make smart, values-aligned decisions in talent-related matters.
- Strong organizational and problem-solving skills; you anticipate roadblocks and take initiative to improve outcomes.
- Proficient in tools like Google Workspace, Slack, ATS (e.g., Paylocity or similar), and basic HR systems.
- Comfortable & curious with AI for thoughtful automation and time management
- Familiarity with learning management systems (LMS) and onboarding platforms.
- A passion for thoughtful, human-centered recruiting and development practices.
- Comfortable working in a fast-paced, remote-first environment with high standards.
