Job Overview
The Administrative Assistant plays a vital role in supporting the administrative and pastoral operations of Our Lady of Fatima parish. This position requires professionalism, discretion, attention to detail, and a commitment to upholding the mission and values of the Catholic Church. The Adm Assistant works closely with the pastor, parish staff, and parishioners to ensure the smooth and efficient functioning of the church office.
Responsibilities
- Answer phones, greet visitors, and respond to parishioner inquiries with courtesy and respect.
- Maintain parish records, including sacramental registers, correspondence, and membership databases.
- Prepare weekly bulletins, newsletters, and other parish communications.
- Schedule appointments, meetings, and parish events; maintain the parish calendar.
- Coordinate facility use, including reservations for parish spaces.
- Order and manage office and liturgical supplies.
- Maintain confidentiality regarding parishioner contributions and all financial matters.
- Support parish ministries and volunteers as needed.
- Assist with special events such as weddings, funerals, and sacramental celebrations.
Experience / Qualifications
- High school diploma or equivalent required; associate’s degree preferred.
- Prior experience in office administration, preferably in a church or non-profit setting a plus.
- Proficient in both English and Portuguese (spoken and written).
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Publisher.
- Excellent organizational, written, and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of Catholic faith, sacraments, and parish life preferred.
- Strong interpersonal skills and a welcoming demeanor.
- Ability to multitask, prioritize, and work independently or as part of a team.
Work Schedule
Part-Time: 16 hours / week
Monday, Tuesday, Thursday & Friday 9 am - 1 pm
Physical & Other Requirements
- Ability to sit at a desk and work at a computer for extended periods.
- Light lifting (such as office supplies), as needed.
- Occasional evening or weekend work may be required for parish events.
Pay: From $20.00 per hour
