Position Title: Communication Specialist - Patient Logistics Department: Patient Logistics Center Job Description: Communications Specialist - Patient Logistics Shift: Full-Time - Days OU Medical Center - Oklahoma City, OK General Description: Under general direction, responsible for assisting with hospital through put by regulating bed availability throughout OU Medicine Inc. Essential Responsibilities: Responsibilities listed in this section are core to the position. Inability to perform these responsibilities with or without an accommodation may result in disqualification from the position. Monitors admit status of patients from the ED to the inpatient/Observation setting and Outlook email for RA’s and daily admits. Initiates clear, concise, and ongoing communication regarding bed availability and patient flow. Communicates with ED care managers, Bed Management Coordinator, environmental services, and inpatient charge nurses regarding patient status and bed availability. Communicates with patients scheduled for next day arrivals. Reviews medical admit orders for accuracy and completion, as well as to oversee bed availability for admits, transfers, and discharges. Follows up with requestor and Bed Management Coordinator to get complete information as needed. Assigns patient beds, as appropriate, and maintains list of pending admits. Exemplifies analytical thought processes, prioritizing critical admits and in-house transfers while collaborating with Bed Management Coordinator as medically indicated. Anticipates potential barriers to admittance, unit transfers, and discharges, intervening appropriately to offset any adverse impact Maintains a calm, professional, rational demeanor during all times of interaction. Performs well and maintains bed stability in situations involving conflict or crisis. Maintains positive, effective, collaborative interactions with physicians, department directors, and staff members to communicate the needs of patients and the facility. Operates the hospitals electronic bed board with detail and efficiency. Collaborates with other bed management staff to facilitate bed management goals. Maintains various reports and logs as needed. General Responsibilities: Adheres to organizational and departmental policy maintaining confidentiality and patient rights. Completes unit education as assigned Works for continuous improvement in customer service and processes. Participates in performance improvement and knowledge advancement opportunities. Performs other duties as assigned Minimum Qualifications: Education: High School Diploma/ GED equivalent required. Some college preferred-medical focus. Experience: Two (2) years of hospital or medical experience in admitting, patient registration/appointments, BedBoard or related area and achieve a score of 20 words per minute on typing test OR an equivalent combination of education and experience, substituting one (1) year of relevant college course work for each year of the required experience. NOTE: No substitution is permitted for the typing test. Licensure/Certifications/Registrations Required: None Knowledge, Skills and Abilities: Knowledge of hospital policies and procedures. Knowledge of medical terminology. Knowledge of office procedures and equipment. Skill in establishing and maintaining effective working relationships with others, in following verbal and written instructions and in typing accurately. Strong conceptual, as well as quantitative and qualitative analytical skills preferred. Work as a member of a team as well as be a self-motivator with ability to work independently. Constantly operates a computer and other office equipment to coordinate work. Excellent verbal and written communication skills with emphasis on providing customer service to internal and external customers. Familiar with or ability to learn Microsoft Office, Teletracking and other software applications. Knowledge of commonly used hospital based computer programs preferred. Ability to relay information accurately and concisely. Ability to work closely with multiple disciplines in the healthcare setting. Ability to successfully handle multiple tasks.
