The Rheumatology Administrative Manager is responsible for overseeing and optimizing all non-clinical operations within the Rheumatology department. This role provides strategic and operational leadership across precertification, scheduling, referrals, Infusion billing, collections, and patient flow, ensuring efficient processes, regulatory compliance, and a high-quality patient experience.
This position partners closely with the Director of Rheumatology to support departmental growth initiatives, financial performance, and operational scalability. The Manager directly supervises a multidisciplinary administrative team and serves as the central point of accountability for non-clinical performance within Rheumatology.

Key Responsibilities
Operational Leadership
- Provide day-to-day leadership and oversight of all non-clinical Rheumatology operations, including:
- Precertification and prior authorization workflows
- Scheduling and access management
- Referral intake and tracking
- Infusion Billing, coding coordination, and charge entry processes
- Infusion Collections, denial management, and payer follow-up
- Patient flow and administrative support functions
- Ensure workflows are efficient, standardized, and aligned with organizational and payer requirements.
- Identify operational gaps and implement process improvements to enhance productivity, accuracy, and patient experience.
- Oversee Rheumatology infusion billing and collections activities, ensuring timely and accurate charge capture and reimbursement.
- Partner with internal billing teams and leadership to manage denials, trends, and payer-related challenges.
- Monitor key performance indicators (KPIs) related to billing, collections, and revenue cycle performance.
- Support reconciliation of contracted rates and assist with payer issue escalation as needed.
- Ensure compliance with regulatory, payer, and organizational billing standards.
- Directly supervise and support a team of non-clinical Rheumatology staff, including scheduling, precertification, referral, and billing support personnel.
- Provide coaching, training, performance feedback, and professional development for team members.
- Foster a collaborative, accountable, and patient-centered team culture.
- Assist with hiring, onboarding, and retention of administrative staff.
- Oversee scheduling and referral workflows to ensure timely patient access to Rheumatology services.
- Monitor patient flow and administrative touchpoints to minimize delays and barriers to care.
- Address operational issues impacting patient satisfaction and access.
- Collaborate closely with the Director of Rheumatology on departmental growth initiatives, including:
- Volume expansion
- Service line development
- Staffing and operational scalability
- Provide operational insight and data to support strategic planning and decision-making.
- Assist with the implementation of new workflows, services, or payer requirements related to Rheumatology and infusion services.
- Ensure department adherence to organizational policies, payer requirements, and regulatory standards.
- Support audits, reporting, and documentation related to billing and administrative processes.
- Bachelor’s degree in healthcare administration, business, or a related field or equivalent healthcare leadership experience.
- Demonstrated experience in medical billing, revenue cycle, or healthcare operations.
- Prior supervisory or management experience in a healthcare setting.
- Strong understanding of prior authorization, referrals, scheduling, and payer processes.
- Proven ability to lead teams, manage competing priorities, and implement process improvements.
- Experience in Rheumatology, specialty practices, or infusion services.
- Familiarity with payer contracting concepts, denial management, and reimbursement trends.
- Experience working with EHR and practice management systems.
