Position Overview
The Medspa Client Coordinator is the first point of contact for all clients and plays a critical role in delivering an exceptional, luxury experience. This position combines front-desk operations, client relationship management, scheduling, and sales support in a fast-paced aesthetic medical environment. The ideal candidate is polished, personable, highly organized, and passionate about aesthetics, wellness, and customer service.
Key Responsibilities
Client Experience & Front Desk
- Greet clients warmly and professionally, ensuring a five-star experience from arrival to departure
- Manage check-in/check-out, intake forms, consents, and payment processing
- Maintain a clean, organized, and welcoming front desk, lobby and common area
- Handle client inquiries in person, by phone, text, and email
Scheduling & Coordination
- Schedule and confirm appointments for providers and treatment rooms
- Optimize provider schedules to maximize productivity and minimize gaps
- Manage waitlists, rescheduling, cancellations, and no-show prevention
Sales & Client Retention
- Educate clients on services, packages, memberships, and promotions
- Support upselling and cross-selling of treatments and retail products
- Track client follow-ups, rebooking, and retention efforts
- Assist with membership enrollments and package tracking
Administrative & Systems Support
- Maintain accurate client records in EMR/CRM systems
- Process payments, gift cards, packages, and memberships
- Support inventory tracking and retail restocking as needed
- Assist with daily reports, end-of-day reconciliation, and basic bookkeeping
Marketing & Practice Support
- Support in-office promotions, events, and special campaigns
- Encourage online reviews and client referrals
- Assist with social media or email and text marketing initiatives as requested
Qualifications
- High school diploma or equivalent
- 1–3 years of experience in a medspa, medical office, luxury retail, or hospitality setting
- Strong customer service and sales skills
- Proficiency with scheduling software, EMR systems, and POS platforms
- Excellent communication, organization, and multitasking abilities
Preferred Experience
- Medspa or aesthetic practice experience
- Familiarity with aesthetic treatments (Botox, fillers, lasers, facials, skin care, etc.)
- Experience with platforms such as Vagaro, Square, Mindbody, or similar systems
