Job Details
Job Title: HR Assistant Specialist with Driving
Location: Chelmsford, Massachusetts 01824
Contract :: 07 Months
Pay rate :: 20.40/hr to 30.60/hr on W2
Work Schedule: Approximately 40 hours per week; overtime may be required
Travel Requirement: Local travel using personal vehicle on an as-needed basis
Expense Reimbursement: Approved mileage, meals, and travel-related expenses reimbursed per Company expense guidelines
Job Summary
The HR Assistant Specialist supports various functions within the Human Resources department, including:
- Recruitment and employment support
- Employee and labor relations
- Applicant Tracking System (ATS) and Vendor Management System (VMS) administration
- Workforce planning projects
- Reporting and HR operations support
The role requires collaboration with hiring managers and regional/corporate HR teams to manage requisitions, support HR systems, generate reports, and assist in hiring activities.
Strong communication skills, recruitment experience, and basic knowledge of employment laws are required.
Key Responsibilities
1. HR Administrative Support
- Support assigned HR teams with administrative tasks
- Run and distribute reports
- Coordinate follow-ups with MSP and HR teams
- Maintain HR documentation and requisition records
2. ATS / VMS Management
- Submit and manage requisitions in the Vendor Management System (VMS)
- Work with IQNavigator (IQN) for contingent worker requests
- Monitor job requisitions and system workflows
- Contact hiring managers for additional requisition information
- Troubleshoot system-related issues for end users
- Provide system guidance and support to HR teams and candidates
- Train users on HR systems and processes
- Communicate ATS/VMS updates and process information
3. Reporting & Workforce Planning
- Develop and maintain workforce planning data and reports
- Generate recruiting and hiring activity reports
- Support reporting initiatives for business units
- Reduce ad hoc reporting by improving data access and reporting processes
4. Recruitment Support (Direct Hire Candidates)
Candidate Selection & Resume Review
- Review resumes and identify qualified candidates
- Forward selected resumes to hiring managers
- Follow up with hiring managers regarding candidate status
Interview Coordination
- Conduct HR screening phone interviews
- Coordinate candidate assessments
- Schedule interviews with hiring managers
- Follow up on interview feedback and hiring decisions
Job Requirements
Education
- Associate’s Degree required
- Bachelor’s Degree preferred
- Equivalent experience may be considered
Experience
- Minimum 2 years of experience in:
- Human Resources
- Recruitment
