Position Overview:
We’re seeking a Talent Booking & Event Assistant to support our young Hospitality group with
scheduling, event planning, and talent coordination, serving as the organizational hub for all
meetings, presentations, and travel logistics.
In this role, you’ll ensure every client touchpoint, from a call to a team meeting, is executed to
reflect the elevated service standards that define OPUS Hospitality Group.
The ideal candidate is detail-oriented, personable, thrives on bringing order to a dynamic,
creative environment, anticipates needs, juggles schedules, and makes every interaction feel
effortless and well-orchestrated.
Key Responsibilities:
Event & Talent Coordination
● Coordinate bookings for talent, performers, DJs, entertainment partners, and agency contacts.
● Manage calendars for all upcoming events, tastings, walkthroughs, entertainment holds, and
production-related schedules.
● Help organize event logistics and communications including proposals, confirmations,
timelines, call sheets, vendor coordination, and onsite support.
● Coordinate travel, transportation, and accommodations for talent, VIP guests, and internal
teams when needed.
● Maintain accurate talent files, rate sheets, agreements, and scheduling notes.
Client & Guest Experience
● Act as the first point of contact for entertainment partners, clients, and VIP guests with
polished, timely communication.
● Prepare meeting materials, briefing documents, hospitality touches, and setups for client or
talent-facing interactions.
● Assist in crafting itineraries for talent, clients, and hospitality programs aligned with OPUS’s
elevated standards.
Operational & Administrative Support
● Keep organized records of all bookings, contracts, follow-ups, event summaries, and relevant
communications.
● Assist with maintaining event inventory (menus, signage, hospitality materials, promotional
pieces).
● Prepare decks, agendas, and digital files for internal reviews, scouting visits, or client
presentations.
● Support general office coordination to ensure the space is organized, stocked, and guestready.
Qualifications:
● 1 years of experience in talent booking and event support
● Strong understanding of event/performance logistics and hospitality service standards.
● Exceptional organizational skills and attention to detail, thriving on managing multiple
schedules and shifting priorities.
● Excellent communication and interpersonal skills with a proactive, service-first mindset.
● Proficiency in Microsoft Office Suite, Google Workspace, and event scheduling tools
● Familiarity with Adobe Creative Suite or design is an advantage
