The Job
As Chief of Staff, you are providing exeuctive support and staying on top of key business deliverables in order to keep a high-performing leadership team organized and operating efficiently.
- Take ownership of complex calendar management, meeting coordination and document preparation such as reports and presentations.
- Directly support project management initiatives by helping to ensure the Managing Director’s priorities are reflected in ongoing work with the broader business unit.
- Support the Executive Team in coordinating and tracking priority initiatives, ensuring actions and deadlines are clearly documented and followed up.
- Translate high‑level direction into practical tracking tools such as action logs, timelines, and status trackers.
- Maintain clear records of decisions, commitments, and next steps to ensure follow‑through.
- Assist with organizing multi‑stakeholder efforts by clarifying ownership, sequencing, and dependencies.
- Help document and maintain processes, workflows, and reference materials to improve execution and reduce friction.
- Identify opportunities to improve process organization, scheduling, and information flow.
- Ad-hoc executive administraiton tasks as needed.
What you bring to the job
- 3-5 years’ work experience as an Executive Assistant, Business Manager or Chief of Staff in a highly matrixed corporate enviroment, ideally in financial services, FinTech, or technolgy sectors.
- Successful completion of a Post-Secondary degree.
- Strong organizational and time‑management skills with the ability to handle multiple priorities simultaneously.
- Superior written and verbal communication skills.
- Expert proficiency in the full MS Office Suite, Adobe, and cloud-based platforms.
- Demonstrated ability to stay organized, detail‑oriented and execution‑focused in a fast-paced, dynamic environment.
- Proactive, dependable and comfortable managing complexity.
- Able to work through ambiguity with direction from senior leadership.
- Act as a trusted partner who builds credibility through consistency and follow‑through.
- Commitment to professional growth and development.
