This role manages front-desk functions, coordinates meetings and vendor services, processes key accounts and invoices, and assists with new branch and fleet-related administrative needs. The position plays a critical role in maintaining organized, efficient, and professional day-to-day operations.
Essential Functions
- Greet visitors and function as a point of contact for customers and other external partners.
- Manage conference room calendars.
- Manage incoming calls, CSR/service inquiries, and daily mail distribution.
- Coordinate meetings, travel, accommodations, and catering arrangements.
- Organize quarterly meetings, executive events, and employee recognition initiatives.
- Maintain office, kitchen, and breakroom supplies; oversee general office upkeep.
- Update and distribute employee directories and contact lists.
- Process and code P-card transactions and monthly invoices.
- Manage postage and mailing systems, including multi-location accounts.
- Serve as primary contact for shipping accounts (FedEx, UPS) and process related invoices.
- Oversee office supply and uniform vendor accounts, including new branch setup.
- Establish utilities for new branch locations.
- Administer fuel card programs, driver PINs, and monthly fuel reporting.
- Maintain toll, SunPass, and violation processing accounts.
- Coordinate corporate ticket allocations and related renewals.
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite
