POSITION TITLE: Field Trip Coordinator
REPORTS TO: Director of Transportation
TERMS OF EMPLOYMENT: 12-month employment with benefits
QUALIFICATIONS:
1. High School diploma or equivalent
2. Associate degree or administrative experience preferred.
3. Experience in transportation coordination, scheduling, logistics, or office management preferred.
4. Strong organizational and multitasking skills.
5. Excellent verbal and written communication skills.
6. Ability to work collaboratively with staff, drivers, parents, and community members.
7. Proficiency with scheduling software, Google Workspace, Microsoft Office, and other transportation management systems.
8. Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
9. Knowledge of school transportation operations and state regulations preferred.
POSITION SUMMARY: The Trip Coordinator for Transportation is responsible for organizing, scheduling, and
coordinating all district-related transportation trips outside of regular bus routes. This position serves as the primary liaison between schools, coaches, advisors, drivers, and the transportation department to ensure safe, efficient, and timely transportation services for athletic events, field trips, extracurricular activities, and special programs.
PERFORMANCE RESPONSIBILITIES:
- Coordinate and schedule transportation requests for field trips, athletic events, extracurricular activities, and special programs.
- Communicate with principals, directors, secretaries, coaches, teachers, and activity sponsors regarding transportation needs and scheduling.
- Assign drivers and vehicles based on availability, licensing requirements, and trip needs.
- Maintain transportation schedules and calendars for all special trips.
- Ensure compliance with district policies, state transportation regulations, and safety standards.
- Monitor trip requests for accuracy, cost efficiency, and staffing availability.
- Prepare and maintain records related to trip requests, driver assignments, mileage, and billing as needed.
- Communicate schedule changes, cancellations, and updates to appropriate staff in a timely manner.
- Assist in resolving transportation concerns or conflicts related to trips and events.
- Collaborate with mechanics and transportation staff to ensure vehicle readiness and availability.
- Support substitute driver coordination when necessary.
- Maintain confidentiality of student and district information.
- Perform other duties as assigned by the Transportation Director or designee.
o Review and maintain trip assignment procedures as written within handbook
o Review and enter all Bus Conduct reports into the district’s current system
o Review and upload all Commander Bus videos upon request and notify building administration of Bus Conduct reports and videos
o Pull/assist with Red Light violations through our Commander Bus video system
o Assist with all transportation communications via Parent Square
o Assist with daily dispatch duties, phones, etc. when on site
o Coordinate summer cleaning needs with Facilities/Maintenance Department
o On occasion, may need to aide on various routes throughout the school year
o All other duties assigned by Director of Operations/Transportation

- Ability to use standard office equipment.
- Ability to occasionally lift and move materials up to 25 pounds.
- Ability to occasionally ride routes during the school day.
EVALUATION:
Performance will be evaluated annually in accordance with district policy and administrative guidelines.
COMPENSATION:
Salary and benefits will be established according to the applicable classified staff salary schedule and district policies.
ADDITIONAL WORKING CONDITIONS:
1. Occasional exposure to blood, bodily fluids, and tissue.
2. Occasional operation of a vehicle in inclement weather conditions.
3. Occasional interaction with unruly children.

1. 12-month
2. The employee shall remain free of any alcohol or non- prescribed controlled substance abuse in the workplace throughout his/her employment in the District.
