About the Role
This role will strengthen day-to-day school operations. This role coordinates cross-functional operational systems and ensures strong execution across facilities, food services, and front office operations. The Operations Manager partners closely with the Facilities Manager, Food Services Manager, and Front Office Manager to create clear systems, ensure coverage, and maintain compliance—so instructional teams can focus on teaching and learning.
Responsibilities
School Operations Systems & Execution
- Builds and maintains clear, repeatable operational systems (SOPs, schedules, checklists, logs) across key operational areas
- Tracks operational priorities, deadlines, and deliverables; escalates risks early to school leadership
- Coordinates operational coverage plans (arrival/dismissal, lunch, transitions, events, testing days, early release)
- Supports consistent, high-quality customer service for students, families, and staff
Facilities Partnership (with Facilities Manager)
- Coordinates safety and facility inspections; maintains logs and documentation
- Supports work order intake, prioritization, and tracking to closure
- Helps plan and coordinate repairs, minor projects, room setups, and vendor visits
- Supports emergency preparedness routines (drills, signage, evacuation materials) in coordination with leadership
Food Services Partnership (with Food Services Manager)
- Supports operational readiness for breakfast/lunch service: staffing plans, scheduling, and coverage coordination
- Helps ensure compliance documentation is completed (meal counts, distribution processes, required forms as assigned)
- Coordinates meal-related logistics for field trips and events (as applicable)
Front Office Partnership (with Front Office Manager)
- Supports front office systems: visitor management, family communications workflows, supplies, and daily routines
- Coordinates arrival/dismissal processes, late passes, and student movement procedures (as assigned by leadership)
- Helps ensure consistent documentation and routing for student-related operational needs (forms, authorizations, records routing—without duplicating registrar/SIS work if separate)
Student Transportation & Events
- Coordinates transportation logistics for field trips and school events (and athletics transportation if assigned)
- Confirms bus schedules, permissions, staff coverage, and day-of execution plans
- Leads operational run-of-show planning for major events (concerts, dances, ceremonies, family nights)
Scheduling, Planning, & Communications
- Maintains operational calendars and key dates; supports weekly staff communications for operations items
- Produces clear operations updates for leadership and staff (what’s changing, when, and what staff need to do)
- Coordinates planning meeting logistics and ensures follow-up items are tracked and completed

Calendar & Scheduling Systems (Calendria or other scheduling platform)
- Owns the schoolwide operations calendar in Calendria (or other designated scheduling application) and ensures accuracy, completeness, and timely updates
- Maintains master calendars for key operational workstreams (events, testing days, field trips, drills, coverage schedules, building use) in coordination with the Principal and department leads
- Establishes and enforces calendar norms (lead time for requests, naming conventions, required event details, approval workflow)
- Serves as the point person for calendar requests and scheduling conflicts; proactively resolves conflicts and escalates decisions when needed
- Publishes weekly and monthly calendar views/updates for staff and confirms day-of changes (coverage, room assignments, transportation timing)
- Coordinates space/room scheduling and building use to ensure events and programs have appropriate coverage and resources
- Maintains distribution lists/invites and ensures relevant stakeholders are included (operations, safety, food services, front office, IT, athletics as applicable)
Qualifications
We are seeking candidates with the following qualifications:
- Experience: 3 years in school operations, facilities/operations coordination, office management, or a similar operational role (K–12 or youth-serving environment preferred)
- Systems-builder: demonstrated ability to create and maintain SOPs, checklists, schedules, trackers, and documentation that other people can follow consistently
- Project management: able to manage multiple deadlines, coordinate across teams/vendors, and drive tasks to closure with minimal supervision
- Communication: strong written and verbal communication; can produce clear updates and “what’s changing/when/what you need to do” messages for staff and families when needed
- Customer service mindset: professional, calm, and solutions-oriented with students, families, and staff—especially during high-traffic times (arrival/dismissal, events)
- Judgment & confidentiality: handles sensitive student/staff information appropriately; uses sound judgment and escalates issues early
- Operational readiness & safety: familiarity with school safety routines and compliance documentation (e.g., drills, visitor management, emergency procedures) or willingness to learn quickly
- Tech comfort: strong working knowledge of Google Workspace (Docs/Sheets/Calendar) and comfort learning school systems (SIS, scheduling tools, visitor management, work order tools)
- Data/tracking skills: able to maintain accurate logs, inventory lists, and vendor/service tracking; strong attention to detail
- Physical/field work readiness: able to move around the building, navigate stairs, and support room setups/event logistics as needed (reasonable accommodations as applicable)
- Teaming/leadership: ability to coordinate adults without formal authority, and to partner smoothly with Facilities, Food Service, and Front Office leads
- Problem-solving under pressure: proven ability to triage competing priorities and stay steady during urgent situations (building issues, transportation changes, last-minute coverage gaps)
