Office Coordinator
Location: Deer Park
Reports To: Branch Manager
Job Summary:
The Administrative Assistant in the staffing industry provides essential administrative support to ensure the
efficient operation of the office. This role involves managing office tasks, assisting with recruitment processes,
maintaining employee records, and supporting both clients and candidates throughout the hiring process.
Key Responsibilities:
- Manage office supplies inventory, order supplies as needed, and ensure the office is well-
organized. - Maintain the cleanliness of the front office daily and weekly
- Maintain office filing systems, both electronic and physical, ensuring all documents are properly
archived. - Handle incoming and outgoing correspondence, including mail, and emails.
- Handle incoming high volume phone calls; calls vary from 150-200 call per day.
- Screen resumes and applications, and schedule interviews for recruiters.
- Coordinate and facilitate candidate interviews, including arranging interview logistics and
providing necessary information to candidates. - Maintain and update employee records, ensuring all information is accurate and up to date.
- Assist with the onboarding process for new hires, including preparation of onboarding materials.
- Assist with background checks.
- Handle confidential information with utmost discretion and professionalism.
- Serve as the first point of contact for clients and candidates, addressing inquiries and providing
information as needed. - Provide exceptional customer service to clients and candidates, ensuring a positive experience
throughout the hiring process. - Perform general clerical duties, including photocopying, faxing, and mailing.
Required Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- A minimum of 2 years of administrative support experience.
- Staffing or recruitment industry preferred.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize effectively.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Familiarity with Applicant Tracking Systems (ATS) is a plus.
Working Environment:
- This is a full-time position based in an office environment.
- Occasional overtime may be required to meet deadlines.
- Monday-Friday, 8AM-5PM.
