The ideal candidate has experience in corporate reception or executive hospitality, thrives in high-pressure environments, and understands the nuance required to support senior leadership and distinguished visitors.
Key Responsibilities
- Serve as the primary point of contact for C-level executives, board members, VIPs, and high-profile guests on the executive floor
- Greet all visitors with warmth, professionalism, and efficiency, ensuring an outstanding first impression
- Partner closely with executive assistants and anticipate executive needs for seamless, elevated support
- Manage the full visitor experience from arrival to departure, working in real time with executive assistants and lobby security
- Coordinate executive meeting logistics, including room readiness, guest preparation, and scheduling support
- Uphold executive-level service protocols and brand standards consistent with the client’s corporate culture
- Maintain a pristine, guest-ready environment across all reception and executive areas
- Track and report visitor activity, preferences, and trends to enhance hospitality services
- Oversee concierge-level amenities, ensuring VIP guests receive personalized service (e.g., customized refreshments, special dietary accommodations, tailored meeting prep)
- Handle confidential and sensitive information with the highest level of professionalism
- Organize catering and hospitality for executive meetings and events
- Provide administrative support such as document preparation, visitor logs, and supply management
- Liaise with security, facilities, office services, and other departments to ensure seamless daily operations
- Support emergency preparedness and evacuation protocols for the executive floor
- Demonstrate adaptability, strong problem-solving skills, and the ability to pivot quickly when priorities shift
- (Optional) Provide scheduling or administrative support to the broader receptionist team as bandwidth allows
Qualifications
- Minimum 3 years of corporate front desk or receptionist experience
- Prior experience supporting senior leadership or working on a C-Suite/executive floor strongly preferred
- Exceptional verbal and written interpersonal skills
- High emotional intelligence and sound judgment; able to maintain strict confidentiality
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong organizational abilities and attention to detail
- Ability to multitask and stay composed in fast-paced, high-stakes environments
