Role Summary
The On-Site Services Specialist provides daily operational support in one or more service areas including high-volume printing/copying, document imaging, mail services, shipping/receiving, and general office support. Key Responsibilities
- Provide operational support in one or more of the following functions:
- High-volume copying and duplicating services
- Document imaging and scanning services
- Mail management systems
- Shipping and receiving of supplies and product
- Building support including meeting setups and light maintenance
- Operate high-volume copy machines and perform binding, finishing, QC, and final checks of completed documents.
- Operate high-volume document imaging systems and related document image-handling software.
- Use MS Office (including Excel) and email systems to open, send, retrieve, and manage electronic files.
- Open, save, transfer, and organize PC files using established protocols.
- Access and operate document management systems following approved procedures and guidelines.
- Generate and maintain reports for digital printing, imaging, and mail systems in electronic format.
- Ensure convenience copiers are functioning properly through daily inspections, including:
- Checking print quality
- Monitoring paper and toner levels
- Clearing paper jams and minor issues
- Notifying technicians of equipment concerns
- Maintain accurate records for management reporting and supply inventory.
- Sort, distribute, and deliver office supplies, mail, and fax transmissions to assigned personnel or designated drop-off points.
- Handle incoming and outgoing mail and faxes, including applying appropriate postage.
- Perform shipping and receiving duties for materials, product, and supplies.
- Calculate charges for work performed and maintain billing logs as required.
- Respond to customer inquiries and coordinate service calls required by the customer.
- Provide reception coverage as needed, including customer-facing support.
- Identify and handle documents accurately, including the ability to recognize and process loan documents.
- Deliver completed work to designated customer locations within and outside the facility; travel between buildings may be required.
- Maintain daily meter readings and service logs to support accurate reporting.
- Keep copier areas neat, organized, and fully stocked at all times.
- Support conference room and meeting room setups (reconfiguring chairs/tables, preparing meeting spaces, etc.).
- Assist with building occupant moves within assigned facilities as needed.
- Perform light maintenance duties such as re-lamping and minor support tasks.
- Perform occasional housekeeping/cleaning duties as required.
- Operate finishing and bindery equipment including:
- shrink-wrap machine, paper cutter, hole drill, jogger, tape machine, stackers, electric stapler, and scales
- Use essential office equipment including copier machines, calculators, fax machines, postage meters, and PC software applications.
- Perform filing tasks which may include purging and archiving old documents.
- Provide periodic overtime support (nights/weekends) and off-hour emergency response when required.
- Perform other duties as assigned.
- High school diploma or GED required.
- 1–2 years of experience in a related field (or equivalent experience).
- Prior copy/print job experience preferred.
- A valid driver's license and minimum auto insurance coverage may be required per Ricoh policy (site dependent).
- Excellent customer service and communication skills.
- Strong PC skills and ability to work daily with MS Office applications (especially Excel).
- Highly organized with strong attention to detail and the ability to prioritize tasks effectively.
- Good mathematical and filing skills.
- Ability to use and troubleshoot office machines and technical production equipment.
- Customer-centric mindset with professional presentation and strong interpersonal skills.
- Office environment with standard lighting, ventilation, temperature, and noise levels.
- Work assignments are diversified and require the ability to interpret and apply complex instructions, data, and job requirements.
- Physical demands may include prolonged standing, walking, bending, reaching, stretching, climbing, and similar activities.
- Must be able to lift/move items up to 50–55 lbs.
- Must be capable of pushing/pulling wheeled machines that may weigh up to 700 lbs to reposition for repair or service.
- Walking between buildings may be required.
- Moderate dexterity required with frequent use of:
- calculator, keyboard, hand tools, and eye/hand coordination
- Pay Rate: $17.00 – $17.25 per hour
