Core Responsibilities

• Project Planning & Execution: Plan, organize, and integrate cross-functional IT tasks to deliver specific, timely results to customers. Step in to perform core project tasks as needed (e.g., gathering requirements, facilitating design discussions, overseeing application development, testing, training, and roll-out schedules).

• Documentation & Tracking: Monitor and track all project documentation, deliverables, and resource forecasts. Maintain and update project schedules alongside the Risks, Actions, Issues, and Decisions (RAID) log.

• Meeting Facilitation: Schedule project meetings, actively record and distribute meeting minutes, and send follow-ups to ensure all action items are completed in a timely manner.

• Stakeholder & Scope Management: Collaborate with project managers and business teams to document and manage project scope and high-level requirements. Provide excellent customer management by setting expectations and communicating status updates.

• Reporting & Communications: Use reporting tools to keep customers informed of project status and upcoming work. Assist in developing status reports and communication materials (emails, newsletters, PowerPoint presentations). Share lessons learned and retrospective findings.

• Team Collaboration: Maintain highly effective communication and working relationships with all project team members. Perform other responsibilities as required by management.

Required Skills and Competencies

• Software Proficiency: Advanced skills using Microsoft Office tools (Teams, Word, Excel, PowerPoint, Outlook, etc.) and Asana.

• Communication: Excellent written, oral, and presentation skills. Ability to effectively tailor communication to various stakeholder groups, including executive management, business users, and technical teams.

• Analytical Abilities: Strong organizational, analytical, and problem-solving skills.

• Adaptability: Proven ability to seamlessly multi-task and manage competing priorities in a fast-paced environment.
