Overview

The Item Master Data Specialist is responsible for ensuring every product in the Onward Reserve assortment is accurately created, structured, and maintained within the ERP system. This role safeguards the integrity of item data across retail, e‑commerce, wholesale, and warehouse operations. With meticulous attention to detail and strict adherence to data governance standards, this position ensures that product information flows correctly through purchasing, receiving, inventory, merchandising, personalization, and financial reporting. This is a mission‑critical role that directly impacts inventory accuracy, customer experience, operational efficiency, and brand presentation.

Key Responsibilities

Item Setup & Data Governance

• Create and maintain item master records with complete and accurate attributes (SKU, descriptions, categories, cost, vendor, UOM, season, color/size, personalization eligibility).
• Ensure all items meet Onward Reserve’s strict data standards, naming conventions, and attribute requirements.
• Validate data for accuracy, completeness, and compliance before items are activated in the ERP.
• Maintain lifecycle statuses (active, seasonal, discontinued) and ensure clean transitions across seasons and assortments.

Retail, E‑Commerce & Merchandising Support

• Ensure item data flows correctly to Shopify, wholesale portals, and internal systems.
• Support merchandising with accurate product categorization, filters, and attributes for online and in‑store presentation.
• Maintain pricing accuracy, including initial pricing, markdowns, promotions, and licensing‑specific rules.

Inventory & Warehouse Alignment

• Partner with Warehouse Operations to ensure items are set up with correct dimensions, carton info, and handling requirements.
• Troubleshoot receiving issues caused by incorrect or incomplete item data.
• Maintain accurate UOM, pack sizes, and replenishment attributes.

Cross‑Functional Collaboration

• Work closely with Merchandising, Planning, Finance, Warehouse, and Store Operations to gather missing data and resolve discrepancies.
• Support Finance with accurate costing, margin validation, and audit‑ready documentation.
• Communicate data issues proactively and drive resolution with urgency.

Quality Control & Continuous Improvement

• Perform routine audits of item data to identify inconsistencies or errors.
• Maintain SOPs, data standards, and documentation for item creation and governance.
• Recommend improvements to item setup workflows, templates, and data validation processes.

Qualifications

Required

• Experience working in an ERP environment (Business Central, NetSuite, SAP or similar).
• Strong attention to detail and commitment to data accuracy.
• Ability to follow strict data standards and governance rules.
• Proficiency with Excel and structured data entry.
• Excellent communication and cross‑functional collaboration skills.

Preferred

• Experience in retail, apparel, or consumer goods.
• Familiarity with Shopify or other e‑commerce platforms.
• Understanding of product attributes, size scales, color codes, and merchandising structures.
• Knowledge of inventory, purchasing, or warehouse workflows.
