Administrative Coordinator/Facilitator (Architecture, Engineering, Construction)

Only candidates with working experience in Architecture, Engineering, or Construction (A.E.C) industries will be considered

Location: Downtown Dallas (on site)

We are seeking a detail-oriented and proactive administrative assistant to manage, coordinate, and maintain architectural specifications across multiple projects. The successful candidate will play a key role in ensuring accuracy, consistency, and compliance of project documentation while working closely with internal teams and external stakeholders. Training will be provided.

Responsibilities

• Supporting the specifications team to prepare, coordinate, and maintain project specifications in alignment with design, engineering, and regulatory requirements
• Setting up and attending project kick-off meetings
• Collaborate with engineers, architects, project managers, and consultants to ensure specifications are accurate, complete, and up to date
• Manage specification revisions, version control, and document distribution throughout the project lifecycle
• Ensure compliance with applicable standards, codes, and industry regulations
• Support and manage QA reports
• Maintain specification templates, libraries, data sheets, and best practices
• Assist in resolving technical queries related to specifications during design and execution phases
  
  
  

Qualifications

• High school diploma / Associates degree
• 3 years of administrative support experience, ideally in the architecture, engineering, or construction industries
• Microsoft Office Proficiency
