Location: Downtown Dallas (on site)
We are seeking a detail-oriented and proactive administrative assistant to manage, coordinate, and maintain architectural specifications across multiple projects. The successful candidate will play a key role in ensuring accuracy, consistency, and compliance of project documentation while working closely with internal teams and external stakeholders. Training will be provided.
Responsibilities
- Supporting the specifications team to prepare, coordinate, and maintain project specifications in alignment with design, engineering, and regulatory requirements
- Setting up and attending project kick-off meetings
- Collaborate with engineers, architects, project managers, and consultants to ensure specifications are accurate, complete, and up to date
- Manage specification revisions, version control, and document distribution throughout the project lifecycle
- Ensure compliance with applicable standards, codes, and industry regulations
- Support and manage QA reports
- Maintain specification templates, libraries, data sheets, and best practices
- Assist in resolving technical queries related to specifications during design and execution phases
Qualifications
- High school diploma / Associates degree
- 3 years of administrative support experience, ideally in the architecture, engineering, or construction industries
- Microsoft Office Proficiency
