We are seeking a Customer Service Coordinator to join our dynamic team in the United States. This role is vital in ensuring our clients receive outstanding support and service, contributing directly to our company's mission of delivering innovative fulfillment solutions.
Responsibilities
- Serve as the primary liaison for assigned customer programs.
- Request quotes, create POs, and coordinate production with print partners; track proofs, lead times, and inbound dates to meet customer deadlines.
- Create ASN and picking/packing instructions; collaborate with warehouse to stage, kit, and ship per SLA.
- Monitor open work order aging and non‑conforming materials.
- Investigate exceptions (address corrections, non-conforming deliveries, carrier delays, damaged goods) and implement fixes in coordination with Accounting, IT/Systems, CSR, and Warehouse.
- Maintain organized records (quotes, POs, approvals, tracking, delivery confirmations) and ensure customer communication is timely, accurate, and professional.
- Maintain online product catalogs (create/edit product setup, take and upload product images).
- Prepare weekly reports (non-conforming receiving, Open Work Order).
- Reconcile vendor confirmations (pricing, ship‑via, tracking) and communicate any variances or risks to stakeholders.
- Maintain accurate order details in company systems- outbound and returns tracking numbers, shipping address.
- Provide proactive status updates of outbound and return orders, incoming materials, and work orders.
- Qualifications
- 2–4 years in customer service or account coordination within fulfillment, print, or promotional merchandise operations.
- Working knowledge of order management and shipping fundamentals.
- Proficiency with e-commerce and fulfillment systems; ability to learn company platforms quickly and use templates/forms accurately.
- Strong written and verbal communication.
- Detail orientation with demonstrated ability to manage multiple jobs against deadlines.
