Job Type: Full-time, Exempt

Hours: 12-hour shifts 6pm-6am. Must be available evenings, holidays, and weekends as required.  

Work Setting: In-person 

Location: Azusa, CA

Travel: The Supervisor, Donor Allocation is required to travel by personal auto or air to meeting sites (i.e. transplant centers, donor hospitals, CME,
etc.) and other locations.

Summary of Functions:

The Supervisor, Donor Allocation will oversee, direct, and develop the Donor Allocation Coordination functions.
The Supervisor, Donor Allocation will also be responsible for the development, implementation, and evaluation of policies and procedures relating to the broad aspects of organ allocation and assists in developing protocols for company-wide data flow collection. As part of the management team, this individual actively fosters an organizational culture that is based on collaboration, support, and constructive feedback; he/she provides input as needed into organizational policy development. Hires staff, performs personnel disciplinary action, and performs involuntary separations per HR policies.

Duties & Responsibilities:

Essential Job Functions:

1. Provides daily oversight of all the allocation process to facilitate effective organ allocation to maximize organs transplanted.
2. Manages departmental staff scheduling.
3. Plans, prepares for, and manages department meetings.
4. Counsels and disciplines staff based on HR policies and procedures.
5. Approves time-off requests and time sheets for staff.
6. Participates in Donor Allocation Triage on-call schedule as needed.
7. Can perform all functions of the organ allocation process.
8. Functions as a primary trainer for the department.
9. Ensures proper training and skills assessment review of all donor allocation staff.
10. Upholds all OneLegacy policies and procedures and professionalism standards organization wide.
11. Performs other duties as assigned.

 

Organ Allocation Functions:
1. Responsible for after action review of the organ allocation process issues and successes.
2. Oversees organ allocation, including local organ sharing variances and policies, and ensures that it conforms to the OneLegacy and UNOS policies.
3. Maintains current knowledge of organ allocation policies; keeps staff informed of changes and provides consultation and training to all staff when needed.
4. Ensures that deviations from normal allocation process are clearly documented and a letter is sent to UNOS compliance department.
5. Directs activities that monitor effective and appropriate responses to organ and import donor referrals.
6. Oversees all donor information entered in the Unet database in a timely manner by the Donor Allocation Coordinator.
7. Functions as a Donor Allocation Coordinator on shift as needed and provides administrative backup/consultation for all staff, as needed.
8. Serves as a resource to the department to handle the escalation of donor allocation related issues/concerns with internal and external partners.
9. Debriefs donor situations with placement staff and provides support.
10. Reviews donor activity routinely with the clinical management team.
11. Interacts on a regular basis with staff and Operations Leadership team, to ensure complete communications is linked throughout Operations Leadership and staff.
12. Stays up to date with all AOPO and CMS guidelines; UNOS policies.
13. Directs the Donor Allocation Coordinators (DAC) on UNOS and transplant center follow up reporting in a timely manner.
14. Oversees the daily operations of the Donor Allocation Department via structured feedback and accountability metrics reviewed.
15. Conducts individual meetings with Donor Allocation staff on a regular interval. Meetings will serve to provide the staff with performance feedback and accountability metrics.
16. Identifies situations where protocols for laboratory services and/or surgical support need to be reviewed, revised, and/or discussed with Operations leadership and/or the Medical Director.
17. Can be utilized to review policies for effectiveness or make revisions utilizing the document control process with QS.
18. Attends organ allocation related meetings at donor hospitals and/or transplant centers.


Skills and Abilities:
1. Must exhibit ability to assess the daily needs of the donation process.
2. Possesses strong interpersonal skills, which allow for effectively dealing with individuals and/or groups of individuals.
3. Displays good judgement and critical thinking skills.
4. Detailed knowledge of all aspects of organ and tissue donation, and transplantation process including donation, procurement, and preservation techniques.
5. Excellent written and verbal skills.
6. Computer skills including Excel, Word, and PowerPoint.
7. Strong interpersonal, motivational, and problem-solving skills.
8. Have a basic understanding of kidney anatomy, surgical dissection technique, suturing, vascular surgery, cellular metabolism, and laboratory values.
9. Knowledge of UNOS, CMS, AOPO standards, policies, and guidelines.
10. Good organization and documentation practices.

Physical Environment/Working Conditions:
Location: Azusa.
Travel: The Supervisor, Donor Allocation is required to travel by personal auto or air to meeting sites (i.e. transplant centers, donor hospitals, CME,
etc.) and other locations.
Work Hours: Exempt employees shall be paid an established salary on a bi-weekly basis and are expected to fulfill the duties of their position regardless of hours worked. The workweek for full-time exempt employees is normally considered to be 40 hours; however, greater emphasis is placed on meeting the responsibilities assigned to the position than on working a specified number of hours. Exempt employees are not eligible to receive overtime compensation. Must be available evenings, holidays, and weekends as required. The Supervisor, Donor Allocation will periodically be required to be on call for a minimum of 24 hours. Assigned days and/or shift can be changed according to staffing needs.

Job Qualifications:
Education: Must have an undergraduate degree.
Experience: Minimum of two (2) organ donation/transplantation experience required.
Certification & License: OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance. Please refer to OneLegacy’s Policy HR108 - Licensure and Certification for insurance coverage requirements.
Equipment: Reliable automotive transportation is required.

Salary Range: $76,213 - $92,206
