Duties
- Schedule surgical procedures accurately within electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks, ensuring all details are correct and up-to-date
- Verify insurance coverage and perform insurance authorization and verification processes for upcoming surgeries
- Collaborate with physicians, nurses, anesthesia teams, and other healthcare professionals to coordinate operative schedules and prepare necessary documentation
- Review medical records and documentation for completeness and accuracy prior to surgery dates
- Maintain detailed records of procedures, CPT coding (Current Procedural Terminology), ICD-9/ICD-10 codes (International Classification of Diseases), and other relevant medical coding information
- Communicate effectively with patients regarding pre-operative instructions, appointment details, and follow-up care plans using phone etiquette and bilingual skills if applicable
- Manage multi-line phone systems to answer inquiries promptly while providing exceptional patient service and clerical support
- Ensure compliance with HIPAA regulations by safeguarding patient information during all scheduling activities
Qualifications
- Proven experience in medical scheduling within a clinical or hospital setting; dental clinic experience is a plus
- Strong knowledge of EMR systems such as Epic, Meditech, Athenahealth, Dentrix or Eaglesoft; familiarity with hospital or dental office management software is preferred
- Excellent understanding of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), and insurance verification processes including Medicare guidelines
- Demonstrated ability to review medical documentation accurately and efficiently while maintaining attention to detail
- Exceptional computer skills including Microsoft Office Suite (Word, Excel) and health information management systems
- Bilingual abilities are highly desirable to serve diverse patient populations effectively
- Prior experience in medical billing, care plan coordination, or front desk operations enhances suitability for this role
- Strong organizational skills with the ability to handle multiple priorities in a fast-paced environment while maintaining professionalism and compassion
