Role Overview
The B2B Coordinator provides essential administrative and organisational support to the Partners team, ensuring the smooth running of our partner-facing activity and the effectiveness of our commercial operations.
This role is central to helping the B2B team stay organised, informed, and data-driven — from managing reporting and CRM accuracy to coordinating conferences, events, and team processes. The ideal candidate will be highly organised, detail-oriented, and proactive, with a passion for supporting teams and ensuring operational excellence behind the scenes. This role is pivotal for the success of the Partners Team, which is striving for growth and is currently 35% of the business at onefinestay.
Key Responsibilities
Partner Support & Communication
- Respond promptly and professionally to partner communications via email, phone, or CRM.
- Maintain strong relationships with key trade, corporate, and agency contacts.
- Assist the team with coordination and follow-up on high-value or time-sensitive opportunities to ensure quick turnaround.
Reporting & Data Management
- Maintain and update key B2B reports (sales pipeline, partner performance, activity tracking).
- Consolidate and distribute weekly and monthly dashboards for leadership and team review.
- Ensure CRM data integrity — updating partner details, tagging accounts, and logging activity accurately.
- Support the Head of B2B with ad hoc data analysis and presentations.
Administrative & Operational Support
- Own calendar management for B2B meetings, reviews, and key reporting cycles.
- Support the coordination of trade shows, conferences, and partner events (e.g. registrations, logistics, materials).
- Manage internal processes such as expenses, travel coordination, and team documentation.
- Prepare meeting agendas, minutes, and follow-up actions for internal and external meetings.
- Support with loading new partners to Salesforce, ensuring accuracy and data input in a timely fashion
Communication & Team Coordination
- Act as a point of coordination between B2B, marketing, finance, and operations for shared initiatives.
- Support the creation of partner communications (e.g. newsletters, presentations, invitations).
- Help onboard new partners and ensure internal systems and folders are up to date.
- Assist with onboarding and training new team members.
Reporting & Administration
- Maintain accurate partner and booking data in CRM.
- Support the Head of B2B in preparing weekly and monthly performance reports.
- Monitor and log partner activity, performance, and engagement.
- Assist with onboarding new B2B partners and maintaining the partner database.
Team Support
- Coordinate partner familiarization trips (FAMs), events, and communications.
- Support marketing initiatives targeting B2B partners (e.g. newsletters, offers, seasonal updates).
- Assist in identifying opportunities to improve efficiency and partner satisfaction.
Skills & Attributes
