The Senior Executive Assistant to the CEO serves as a trusted strategic partner, providing comprehensive executive, administrative, and personal support that enables the CEO to remain focused on OneApp's highest priorities. This role manages both professional and personal responsibilities with exceptional discretion, organization, and sound judgment.
The Senior Executive Assistant oversees the CEO's business and personal calendars, coordinates travel and logistics, manages communications, anticipates needs before they arise, and ensures both professional and personal commitments are executed seamlessly. The ideal candidate is highly resourceful, proactive, able to adapt quickly to changing priorities, and maintains absolute confidentiality. This individual serves as an extension of the CEO and represents both the CEO and OneApp with professionalism, integrity, and sound judgment in every interaction.
Success in this role requires anticipating needs before they are communicated, exercising exceptional judgment, and independently resolving challenges while keeping the CEO informed of matters requiring attention.
- Serve as the CEO's primary administrative partner, ensuring day-to-day priorities are organized and executed effectively.
- Manage and optimize the CEO's business, personal, family, and travel calendars while balancing competing priorities.
- Anticipate scheduling conflicts and proactively resolve them before they become issues.
- Prepare the CEO for meetings by organizing agendas, briefing materials, presentations, and supporting documentation.
- Attend meetings as requested, document action items, and coordinate follow-up activities.
- Track commitments and ensure important deadlines are met.
- Coordinate personal appointments, reservations, and scheduling needs.
- Arrange domestic and international business and personal travel, including itineraries, accommodations, transportation, dining reservations, and contingency planning.
- Coordinate household vendors, maintenance appointments, and personal service providers.
- Manage personal purchases, gifts, subscriptions, reimbursements, and other administrative needs.
- Run confidential business and personal errands as needed.
- Assist with family logistics and other personal priorities as requested.
- Anticipate needs and proactively solve problems before they arise.
- Maintain absolute confidentiality regarding company information, personal matters, finances, schedules, and family-related information.
- Serve as the primary point of contact for internal and external communications on behalf of the CEO.
- Draft, proofread, and edit emails, presentations, reports, correspondence, and other executive communications.
- Screen incoming requests and determine the appropriate level of urgency and response.
- Exercise sound judgment when prioritizing competing requests for the CEO's time.
- Build and maintain trusted relationships with executives, employees, board members, investors, partners, vendors, and key external stakeholders.
- Serve as liaison between the CEO and both business and personal vendors.
- Coordinate with household service providers and external partners to ensure commitments are completed accurately and on time.
- Represent the CEO and OneApp professionally in every interaction.
- Participate in company events and initiatives that strengthen culture and employee engagement.

- Proficiency in Google Workspace (Docs, Sheets, Gmail), Microsoft Excel, and project management software.
- Ability to independently prioritize multiple competing responsibilities in a fast-paced environment.
- Demonstrated ability to anticipate needs, solve problems proactively, and execute with minimal direction.
- Comfortable managing both executive business responsibilities and personal matters while maintaining absolute confidentiality.
- High level of professionalism, integrity, discretion, and attention to detail.
- Minimum of five years of experience supporting a CEO, Founder, President, or other C-level executive as a Senior Executive Assistant, Executive Assistant, or comparable executive support role.
- Experience managing confidential personal matters alongside executive business responsibilities strongly preferred.
- Bachelor's degree in Business Administration, Management, Communications, or a related field preferred.
- Full-time position that is primarily remote but requires flexibility to travel, work on-site, visit the CEO's residence when needed, and perform both business and personal errands as required.
