Position Overview:
The Office Assistant supports the day-to-day administrative operations of OSCAR Animal Shelter & Adoption Center. This role is essential in ensuring smooth office functions, clear communication, and organized coordination across staff, volunteers, adopters, and partners.

One Step Closer Animal Rescue, Inc., located in Andover, New Jersey, is a 501(c)(3) non-profit organization whose mission is to care for homeless animals, socialize them, provide for their medical needs, and find them forever homes.
Position Scheduled Hours:
Monday–Friday (25-35 hours per week, with some flexibility for the right candidate)
Requirements:
- Strong customer service and communication skills (in person, phone, and email)
- Intermediate computer skills (Microsoft Office, Google Workspace, databases)
- Highly organized with strong attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Comfortable working both independently and as part of a team
- Prior administrative or office experience preferred
- Interest in animal welfare strongly preferred
- Comfortable around cats and dogs; basic animal handling experience is a plus
Job Duties:
- Provide general administrative support for daily shelter operations
- Answer phones, respond to emails, and manage general inquiries
- Maintain and update the shelter management database and records
- Schedule veterinary appointments
- Assist with processing adoption applications and coordinating follow-ups
- Update adoption websites and social media with available animals
- Support communication with adopters, fosters, volunteers, and partner organizations
- Maintain organized filing systems (digital and physical)
- Track, order, and manage office and shelter supply inventory
- Assist with donation tracking and acknowledgment communications
- Support coordination of events, fundraisers, and community outreach efforts
- Prepare reports, documents, and correspondence as needed
- Provide general support to staff and volunteers to ensure smooth operations
- Additional administrative duties as assigned
