Administrative Assistant
Overview:
The Once Upon A Preemie Program Assistant works alongside the President to support all administrative duties. Duties include managing calendar, travel, scheduling, meeting notes and follow-ups, ordering supplies, organizing and storing project reports and documents. The Administrative Assistant will be detailed oriented, and have the ability to multi-task, while communicating status updates on projects to executive leadership and team members.

Once Upon A Preemie, Inc is a non-profit organization that leads education and empowerment services for the healthcare community and for families. We are currently seeking a dynamic administrative assistant to support organizational goals.
Responsibilities:
- Admin duties include: Preparing meeting agendas, attending meetings, note taking, and leading all meeting follow-ups, organizing files, creating and managing databases, scheduling meetings, coordinating periodic travel, supporting CRM set-up and management
- Speaker Management: Support President with responses to speaking engagements including: Confirming availability, emailing required documents, coordinating with design team on presentation specs.
- Prospecting/Fundraising: Cold calling/email prospective funders/donors, and hospitals to support OUAP. Update proposal templates to solicit new business.
- Funder Relations: Creating and managing funder database and funder communications/thank you letters.
- Reporting: Assist President with funder/client data reports.
- Program Assistance: Attend program planning meetings, note take, lead all follow-ups.
Education/Experience
- BA/BS University Degree with a concentration in public health, public administration, marketing, sales, or business administration preferred
- Three to five years of industry experience
- CRM, MS Word Suite, and Internet Research experience required
- Knowledge of public health, maternal health, heath equity, required, perinatal and neonatal health a plus
- Project management experience required
- Event planning experience a plus
- Excellent communication skills (written and oral), strong attention to detail, and ability to work well in a team environment
- Social media and social media marketing experience a plus
Job Type: Part-Time Consultant
Compensation: Compensation is commensurate with experience. No healthcare benefits are offered at this time.
Hours: Tuesday to Thursday, 9:00am-5:00pm EST.
Work Location: Hybrid (Philadelphia Preferred). Onsite one week orientation required in Philadelphia, PA.
