Overview
We are seeking a detail-oriented and organized In-Office Fire Protection Coordinator to support daily operations of our fire protection division. This role is responsible for coordinating inspections, service calls, repairs, documentation, and communication between technicians, customers, and internal teams. The ideal candidate has strong administrative skills, experience in fire protection or construction services, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Schedule and coordinate fire protection inspections, testing, maintenance, and repairs
- Communicate with customers regarding appointments, reports, deficiencies, and follow-ups
- Dispatch and support field technicians with work orders, schedules, and job details
- Prepare, review, and process inspection reports, deficiency reports, proposals, and invoices
- Maintain accurate records in company software and customer files
- Coordinate permits, compliance documentation, and AHJ requirements as needed
- Track job progress, service completion, and outstanding deficiencies
- Order parts/materials and coordinate with vendors as required
- Provide general administrative and customer service support to the fire protection team
Qualifications
- High school diploma or equivalent
- 2 years of administrative, coordination, or office experience (fire protection or construction industry preferred)
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel) and QuickBooks
- Ability to multitask, prioritize, and work independently
- Professional, customer-focused demeanor
