Schedule: Monday – Friday, 8am – 5pm (flexible)
Position Summary
As an Office Assistant, you'll be the backbone of our operations, creating an organized, welcoming, and efficient workplace environment. In this dynamic role, you'll work alongside leadership and teams across our growing anesthesia practice management organization to ensure smooth day-to-day operations, support employee experiences, and contribute to our collaborative company culture. Key Responsibilities
• Supply Management: Monitor, order, and maintain inventory of office supplies including paper, pens, printer cartridges, and cleaning materials to keep our workspace fully stocked and operational
• Employee Wellness & Food Services: Stock snacks and beverages, plan and coordinate office lunches every Tuesday and Friday, and support employee wellness initiatives
• Onboarding Support: Collaborate with the Office Manager, HR, Operations, and executive team to execute comprehensive onboarding experiences for new hires, ensuring they feel welcomed and set up for success
• Culture & Engagement: Create a vibrant workplace atmosphere by decorating our office to celebrate holidays, major sporting events, employee birthdays, anniversaries, and special achievements
• Administrative Support: Answer phones professionally, welcome and direct visitors, schedule appointments, manage correspondence, and provide first-class administrative support to all departments
• Document Management: Organize and maintain files, records, and documentation systems; perform data entry and ensure information accuracy and accessibility
• Office Maintenance: Keep common areas clean, organized, and welcoming; coordinate with maintenance services and vendors to address facility needs
• Mail & Package Handling: Sort, distribute, and process incoming mail and packages; prepare outgoing correspondence for timely delivery
Required Qualifications
• High school diploma or equivalent
• Strong organizational and time management skills with ability to manage multiple priorities
• Proficiency in Microsoft Office Suite
• Excellent written and verbal communication skills
• Ability to multitask, prioritize responsibilities, and work effectively both independently and as part of a team
• Physical requirements: Ability to lift up to 30 lbs.; requires frequent bending, stretching, reaching, walking, and standing
• Proactive mindset, positive attitude, and collaborative communication style
Preferred Qualifications
• Previous administrative or office management experience
• Experience with office equipment operation and troubleshooting
• Customer service or receptionist experience
