Scale House Operations Specialist

IMPORTANT: This is not a traditional office position. The successful candidate must be comfortable working both inside the scale house and outside in an active rail yard, including walking, conducting physical inventory, and working around trucks, railcars, and heavy equipment.

Position Description

The Scale House Operations Specialist is a hands-on position responsible for supporting daily rail yard operations, inventory control, truck and rail movements, shipping documentation, and customer service. While the position is based out of a scale house trailer, the employee will regularly work throughout the rail yard to conduct physical inventory, verify railcars and materials, update records, and support ongoing yard operations.

Major Areas of Responsibility

• Greet visitors and answer phone calls in a professional manner
• Assist with scheduling appointments and managing calendars
• Process and distribute incoming and outgoing mail
• Maintain office supplies inventory and reorder as needed
• Assist with organizing and maintaining office files and records
• Provide general support to office staff as needed
• Complete various administrative tasks as assigned
• Weigh all railcars and trucks in/out
• Release railcars as needed
• Balance yard inventories
• Maintain and balance orders being shipped
• Update cars storage sheets
• Track ongoing projects on spreadsheets
• Enter all BoL’s into OTIS

Minimum Qualifications

• High school diploma or equivalent
• Proficiency in Microsoft Office Suite
• Excellent communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize tasks effectively
• Experience in an office support role is preferred but not required

Work Requirements

• Dependable and consistent attendance/punctuality
• Valid driver’s license required (must not have any major driving offenses within the last three years)
• Ability to multi-task several assignments/projects at one time
• Ability to maintain confidentiality with sensitive organizational and personnel information
• Ability to build and maintain effective relationships at all levels of the organization
• Ability to meet all functional requirements including, but not limited to: lifting (up to 50lbs), sitting, kneeling, standing, walking (including uneven surfaces), bending, squatting, finger dexterity, and reaching above/below shoulders
