Location: Student Information Services Department within the Student & Community Services Division, located at the Teacher Administrative Center (TAC) 3215 Cuming Street, Omaha, NE 68131
Reports to: Coordinator, Student Information Services Department
Work Schedule/FLSA Status: Full-time 12-Month / Hourly Non-exempt / Monday-Friday 8:30 a.m. to 5:00 p.m.
Salary Schedule: Office Personnel H06/36F Step 1 starts at $22.58 per hour. Salary credit may be available for applicable experience.
Position Purpose: Quality Assurance Team or Student Records Management Team
A position on the Quality Assurance Team involves creating, updating, and monitoring student households; assisting the Placement Office with student enrollment; and maintaining records for accuracy related to State Reporting.
A position on the Student Records Management Team in Student Information Services involves responding to requests for records in person, on the phone, or electronically, in compliance with the Family Educational Rights and Privacy Act (FERPA). It also includes the manual processing and digital archiving of cumulative folders and other student records.
Confidentiality of all student records is required by FERPA and by district policy. Experience with Infinite Campus (the student information system for the Omaha Public Schools) is highly preferred.
Essential Performance Responsibilities:
- Process online enrollments in Infinite Campus.
- Create students, parents, staff, and other persons in Infinite Campus.
- Create and modify complex household structures.
- Enroll students in schools and programs using the state-mandated setup.
- Maintain and update address data in Infinite Campus, including zip 4, block, tract, location, and school district, using SchoolSearch county assessor websites and USPS information.
- Using ad hoc queries and custom reports, identify and correct inaccurate data.
- Read and understand legal documents in conjunction with guardianship updates.
- Provide technical support via phone and email to school secretaries and other school staff regarding Infinite Campus and SIS processes.
- Retrieve data from the Nebraska Dept of Education (NDE) and Health and Human Services website for the updating of students in the foster care system and exempt school program.
- Monitor the location and distribution of student records across all past OPS student information systems, including paper, mainframe, SASI, and Infinite Campus.
- Investigate, collect, review, and redact records for public records requests and subpoenas related to student educational records, including email communication.
- Prepare records for document storage and for the release of records using Tools in Adobe Pro.
- Scan and upload files into the student information system and the archival records system.
- Have working knowledge of the Family Education Rights and Privacy Act (FERPA) and the Nebraska Public Records Act.
- Work with the public in person, via email, and via telephone to provide student records, verifications, duplicate diplomas, and work permits.
- Use ad hoc queries and custom reports to produce student lists for school photographers, community partners, and the military.
Additional Duties
Performs other related tasks as assigned by supervisor and other central office administrators as designated by the Superintendent.
Equipment: This position requires the ability to use basic office equipment, including computers, copiers, scanners, and microfilm & microfiche readers. Must always comply with OPS’s guidelines for equipment use.
Travel: Travel within the District may be required.

Knowledge, Skills, and Abilities:
- High School diploma or GED required.
- Knowledge of the Infinite Campus student information system is preferred.
- Ability to discern and triage the priority level of varying tasks and communicate with stakeholders regarding how the priority level is determined.
- Ability to clearly communicate processes and procedures.
- Previous office experience dealing with student records and dealing with the public and district staff in person, on the phone, and via email.
- Ability to complete tasks using complex reasoning skills.
- Exceptional attention to detail.
- Ability to speak Spanish, preferred
- Knowledge of Adobe Pro is preferred.
- Ability to interpret and carry out written and oral instructions and procedures.
- Proficient and accurate keyboarding skills for data entry of student records.
- Exceptional organizational skills.

- Ability to work independently and to meet demanding work schedules.
- Ability to work cooperatively and maintain positive, harmonious working relationships with fellow staff members to promote a team approach.

- Use of Microsoft Office applications, with significant use of Word, Excel, Teams, and Outlook (calendar and email).
- Ability to retrieve records from web-based applications.
Terms of Employment
This position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
