What are the responsibilities and job description for the Olympic Construction Secretary position at Olympic Construction LLC?
Olympic Construction is a family-owned, hands-on commercial construction company based in Nicholasville, KY. We self-perform masonry, ICF, concrete, and related trades on commercial projects, and ownership is active in the day-to-day work. We're looking for an organized, dependable Secretary / Front Desk person to be the first voice and first face of our office — the calm, steady center that everyone from crews to clients relies on.
Position Summary
The Secretary / Front Desk role keeps our office running smoothly day to day — answering phones, greeting visitors, managing paperwork and records, and supporting our Project Managers and Superintendents with whatever the day requires. This is a role for someone who's organized, personable, and comfortable wearing more than one hat.
What You'll Do

- File and retrieve contracts, invoices, certificates of insurance, and other company paperwork
- Support Project Managers and Superintendents with day-to-day office and administrative tasks
- Schedule meetings, deliveries, and appointments, and keep calendars accurate
- Assist with HR and payroll paperwork — new hire forms, timesheets, certifications on file
- Order office supplies and keep the office running smoothly without being asked
- Handle sensitive or confidential information (payroll, contracts, personnel matters) with discretion
What We're Looking For
- Experience in an office, administrative, or front-desk role
- Strong organizational skills and attention to detail
- A pleasant, professional phone and in-person manner — even when things get busy
- Comfort with Microsoft Office or Google Workspace (Word, Excel, email, calendars)
- Reliable and punctual — this is a role that needs someone in the seat
- Comfortable in a hands-on, family-run company where you'll wear more than one hat
Nice to Have

- Prior experience in a construction or trades office
- Familiarity with Fieldwire or similar project management software
