Administrative Coordinator – Olsen MD Functional Clinic (Nocatee, FL)
Olsen MD Functional Clinic is a physician-led functional and longevity medicine practice dedicated to helping patients optimize their health through data-driven, personalized care. We're looking for an Administrative Coordinator to join our growing team and help deliver a seamless, high-touch experience to our patients from first contact through ongoing care.
Position Overview:
The Administrative Coordinator serves as the first point of contact for patients, supporting daily clinic operations and ensuring a professional, welcoming environment. This position involves managing patient communication, scheduling, billing coordination, and supporting our practitioners and health coaches.
Key Responsibilities:
- Greet patients and manage phone, text, and email communications
- Schedule appointments, seminars, and follow-ups through our EHR and scheduling platforms (Elation, Hint, Spruce, Dock Health)
- Coordinate patient onboarding, including lab orders, imaging, and membership enrollment
- Maintain accurate patient records and ensure timely task completion in Dock Health
- Support patient education materials, seminar logistics, and internal workflows
- Assist with payment processing and membership renewals
- Work closely with the Clinic Manager and clinical team to ensure operational excellence
Qualifications:
- Previous experience in a medical or wellness office (preferred: functional medicine, concierge, or longevity practice)
- Strong organizational and communication skills
- Comfortable with technology and learning multiple systems (Elation, Hint Health, Spruce, Google Workspace, etc.)
- Professional, warm demeanor with strong attention to detail
- Ability to manage multiple priorities and maintain confidentiality
Schedule & Compensation:
- Full-time, on-site position (Monday–Friday)
