Primary Objectives of Position:
- Analyze and process information related to inspection, repair, and service workflows.
- Create service invoices and purchase order requests accurately and efficiently.
- Manage monthly invoicing for inspection repairs.
- Assist in developing detailed breakdowns of labor, materials, and subcontractor costs on service invoices.
- Support the Accounts Receivable team with overdue collections by providing invoice revisions and requested documentation.
- Submit invoices to customers directly or via invoicing portals as required.
- Revise invoices upon Service Manager approval; ensure weekly revision chart is completed
- Export invoices from ServiceTrade and import into Spectrum to maintain accurate Accounts Receivable reporting.
- Deliver outstanding customer service to a large and diverse client base.
- Perform general clerical and administrative duties.
- Participate in cross-training across other administrative functions within the Service Department.
- High School Diploma or equivalent required: Associates’ or Bachelors’ degree preferred
- 2 years of experience in administration
- 2 years of customer service experience
- Proficient skill with MS Office software
- Excellent phone skills
- Excellent verbal communication skills
