First-Party Insurance Legal Assistant (plaintiff or defense)
Busy Tampa firm is seeking a motivated paralegal/legal assistant for a fast-paced first-party insurance department with demonstrated scheduling and legal office experience.
Responsibilities
Scheduling and Calendar Management
- Manage attorney calendars, including court hearings, depositions, mediations, client meetings, and deadlines.
- Coordinate scheduling with courts, opposing counsel, clients, experts, and vendors.
- Track litigation deadlines and ensure timely compliance with court orders and procedural requirements.
- Prepare and maintain attorney daily and weekly schedules.
- Send reminders and updates regarding upcoming deadlines and appointments.
Drafting and Document Preparation
- Draft, revise, proofread, and finalize legal pleadings, motions, notices, subpoenas, and correspondence.
- Prepare court filings in accordance with applicable local, state, and federal rules.
- Assist attorneys with document review and case preparation.
- Organize and maintain pleadings, exhibits, and supporting documentation.
- Ensure all filings are completed accurately and submitted within deadlines.
Case Management
- Maintain electronic and physical case files.
- Monitor case progress and track critical dates.
- Communicate with clients regarding case status, appointments, and document requests.
- Enter case information and updates into case management software.
Administrative Support
- Answer and direct phone calls professionally.
- Manage incoming and outgoing correspondence.
- Prepare client communications, and legal forms.
- Perform other administrative and legal support duties as assigned.
Attributes
- Legal office experience (2-3 years of experience preferred, but not required for the right candidate)
- Extensive scheduling experience. Have excellent organizational, verbal, and written communication skills.
- Detail oriented with strong organizational skills.
- Self-motivated with the ability to prioritize multiple tasks, resolve problems independently, and is willing to learn.
- Excellent grammar and proofreading skills.
