About This Opportunity
Responsible for the management and oversight of all payroll operations across two entities, including supervising payroll staff, ensuring compliance with all federal and state regulations, and maintaining accurate and timely payroll processing. This role also supports broader accounting administration functions, including reconciliation, reporting, audits, and process improvement. Maintains strict confidentiality in all personnel and payroll-related matters.

YOUR DAY-TO-DAY
Leadership & Management
- Lead and develop payroll accountants, including training, performance management, and workload distribution.
- Review and approve payroll to ensure accuracy, timeliness, and compliance.
- Establish and enforce payroll policies, procedures, and internal controls.
- Serve as the escalation point for payroll issues and drive continuous improvement.
- Oversee weekly payroll processing for multiple entities, ensuring regulatory compliance.
- Review payroll data, timekeeping, and pay calculations for accuracy.
- Ensure proper handling of certified payroll and wage compliance.
- Manage payroll tax filings (weekly, monthly, quarterly, annual), including W-2s, SUTA, and state withholdings.
- Oversee general ledger reconciliations, intercompany allocations, and payroll-related withholdings (e.g., garnishments).
- Support month-end and year-end close, including payroll journal entries and reconciliations.
- Provide labor cost reporting, analysis, and data for budgeting and forecasting.
- Partner with Accounts Payable on payroll-related disbursements and multi-state requirements.
- Ensure compliance with federal, state, and local payroll regulations.
- Lead and support payroll-related audits (tax, workers’ compensation, unemployment, OCIP).
- Maintain accurate documentation and audit-ready records.
- Oversee payroll systems, reporting, and timekeeping platforms to ensure accuracy and efficiency.
- Identify and implement process improvements to enhance productivity and reduce errors.
- Evaluate and optimize payroll and HR system functionality.
- Oversee employee payroll records, status changes, and compensation tracking.
- Ensure compliance with I-9, E-Verify, and data confidentiality standards.
- Monitor leave tracking, benefits deductions, and employee data accuracy.
- Collaborate with HR, Operations, and Accounting to improve payroll processes and employee experience.
- Support broader accounting functions as needed.
- Perform additional duties as assigned.
- Bachelor’s degree in accounting, finance, or a related field (or equivalent experience).
- 6–8 years of payroll experience, including multi-state and multi-entity environments.
- 2–3 years of leadership or supervisory experience.
- Construction and certified payroll experience are preferred.
- Spanish speaking is preferred.
- Strong knowledge of federal, state, and local payroll regulations.
- Experience with payroll systems and accounting software (Timberline preferred).
- Proficiency in Excel and data analysis.
- Solid understanding of general ledger, reconciliations, and financial reporting.
- Strong leadership, organizational, and time management skills in fast-paced environments.
- High attention to detail, accuracy, and ability to manage complex payroll structures.
- Strong problem-solving, communication, and interpersonal skills.
- Ability to prioritize, delegate, and handle multiple responsibilities while maintaining confidentiality.
