DEPARTMENT PURPOSE: The Strategic Engagement team’s purpose is to intentionally build authentic lifelong relationships with the Cowboy Family to inspire their greatest level of philanthropic impact on Oklahoma State University.
PRIMARY PURPOSE: The Oklahoma State University Foundation seeks an organized, self-motivated student with a high level of professionalism to assist with volunteer engagement, stewardship, and donor experience coordination for the Women for OSU Council (WOSU) and other campaign-related volunteer initiatives. This role provides hands-on experience working with volunteers and behind-the-scenes coordination, ideal for students interested in nonprofit administration, event planning, or higher education fundraising.
This position will require working ideally 20-25 hours per week. Work schedule is flexible, mostly between the hours of 8:30am – 5pm, Monday through Friday. Occasional evening or weekend hours may be requested for event support, but not required. Looking for position to be filled immediately with opportunity to continue through summer and beyond.

Key Areas Of Focus
- Administrative Coordination-
- Pull gift journals weekly when sponsorships are active and bi-weekly throughout the year to track donor activity.
- Maintain documentation in ascend, including WOSU contact reports for stewardship and internal tracking.
- Assist with preparing nomination materials and bios for Council members.
- Engagement and Stewardship-
- Prepare and send acknowledgments for outright gifts, including packaging and mailing bracelets to new partners monthly.
- Partner with MDX team to create quarterly Council newsletters and maintain the Council roster and directory.
- Manage inventory for gifts and marketing materials.
- Prepare birthday cards, send flowers, and assemble welcome baskets for POY, speakers, and emcees, including hostess gifts and roll-off gifts.
- Donor Experience Support-
- Assist with logistics for donor-related events such as the Women for OSU Symposium, tailgate, regional events, and retreats.
- Prepare slide decks and provide wayfinding support for volunteers and staff at Council meetings.
- Support the Director in sending sponsorship packets to past and potential Symposium sponsors.
- Coordinate retreat planning, including RSVPs, correspondence, location confirmation, activities, food reservations, and logistics.
- Event Support-
- Track and manage guest RSVP lists for WOSU events.
- Send confirmation emails to attendees and update records in the event database.
- Organize and maintain event-related documentation, such as guest lists, seating charts, and correspondence logs.
- Assist with day-of event execution, attendee check-in, set-up, and troubleshooting.
- Assemble name tags, prepare seating materials, and organize supplies.
- Provide on-site support during events.
- Other Duties
- Assist with preparing reports or summaries related to event attendance and sponsor participation.
- Other duties as assigned.
Education & Certification-
- Oklahoma State University student in good standing with the university. Pursuing a degree in non-profit management, marketing, business, communications, or related fields preferred, but not required.
- Experience in customer service or related experience interacting with the public preferred.
- Experience in writing preferred.
- Proficiency in Microsoft Office products.
- Excellent oral and written communication skills.
- Ability to multi-task and meet deadlines with little supervision.
- Knowledge of correct English usage, spelling, grammar, etc.; modern office methods and procedures; and equipment and filing system.
- Ability to interact and collaborate with fellow team members, campus partners and OSU students.
